Family and Community Liaison Job Description



Summary

The Family and Community Liaison will report directly to the Director of Operations and has responsibility to the Principal and will ensure that the school office effectively serves and supports students, parents, and school staff all while continuing the established climate and further developing the current Capital Prep model and culture.

Job Responsibilities

Family Community Relationships & Student Recruitment/Enrollment

    Provide strategies for developing and strengthening parent and family involvement at the school and district levels.

    Identify areas where communication with families has been challenging and develop and coordinate community outreach strategies with school staff.

    Attend recruitment fairs and community events; prepare marketing materials; coordinate staff

    Coordinate and conduct open houses, shadow days, student tours, and Admissions Celebration events.

    Represent the school and provide support during family meetings, workshops, and open house events.

    Compile and maintain community partnership directory; maintain regular contact with schools, organizations, community based organizations, etc. on the directory

    Gather, analyze and share family and community members’ feedback with the school’s leadership, and work to develop community-based initiatives.

    Support the Athletic Coordinator with outreach for new scholars, venues for sports events, coaches etc.

    Support the school’s enrollment process in its entirety: notify families the school received their application with a personal email, letter, and/or phone call;

    Conduct regular and ongoing outreach to applicants and families, extend seat offers to parents/families once the lottery is completed, and actively manage the waitlist.

Main Office/Administrative

    Greet all visitors and control access to the school consistent with policies and procedures.

    Set the tone for the school's warm and professional culture.

    Consistent with customer-service orientation, act as the first point of contact for questions, allowing fewer interruptions to the school administration and instructional teams.

    Support answering phone calls, taking messages, placing outgoing calls, making public address announcements, and sending robocalls.

    Ensure the school's main office environment is at all times clean, neat, organized, and orderly.

    Ensure scholars leave only with authorized parents or guardians, consistent with policies and procedures.

    Ensure memos, notices, and other school-specific documents are delivered, collected from classrooms, and processed daily.

    Assist the school nurse with the handling of sick scholars, as needed.

    Record and track uniform violations.

Student Records and Database

    Support collecting and maintaining forms and other records, securing missing forms, and ensuring the confidentiality of all scholar records.

    Support using the SIS and other systems (PowerSchool, SchoolMint, state systems) to maintain and update all scholar contact/demographic information.

Student Attendance

    Support reconciling scholar attendance daily in the school's student information system (SIS).

    Support the production of accurate and timely student attendance reports.

    Support the process of late scholar arrivals and follow up with families of absent scholars.

Other

    Assist with other operations projects, as needed.

    Ensure the safety of scholars under one’s supervision.

    Assist with non-instructional supervision of students, as needed, such as hallway monitoring,

lunch duty, or supervision of extracurricular activities.

    Assist in moving students to proper locations during fire drills, and sports or arts programs.

    Promptly submit required paperwork.

Qualifications

    Bachelor’s degree

    1-2 years working experience in a customer service or admissions field

    Fluency in Spanish preferred

    Proficiency in Microsoft Word, Excel, and Google Suite

    Excellent verbal and written communication skills

    Ability to organize and prioritize work

    Strong attention to detail

    Experience with admissions software or database ideal

Compensation

This position has a twelve-month work year and is a full-time non-exempt position that requires travel and evenings and weekends. Salary for this position is competitive and commensurate with experience. Additionally, CPCSNY offers a comprehensive benefits package.
