As an Operations Assistant, you will play a key role in supporting the Canadian Support Services – Canadian Forces Station (CFS) Alert contract. Reporting to the Operations Supervisor, you will assist with essential administrative and logistical tasks to ensure smooth operations.
What You’ll Do- Coordinate travel arrangements and manage delivery and receipt of arctic gear bags (B25 bags).
- Enter expense claims for CFS Alert employees into the system.
- Obtain quotes, generate purchase requisitions, and coordinate with freight forwarders for supplies, PPE, and approved travel authorizations.
- Manage Nasittuq material deliveries, including obtaining AMO authorization to ship and receiving items at the CMTT.
- Support the Belleville office with utilities, IT, communications, and security needs.
- Assist with accurate bi-weekly timecard submissions for employees.
- Serve as back-up to the Operations Specialist.
- Support tasks related to travel, expense claims, and timecard submissions as required.
- Perform additional duties assigned by higher authority, which may be unplanned or short-term in nature.
- Education: Post-secondary education in Business Administration or related field.
- Experience: 1-2 years of office administration experience.
- Skills & Competencies:
- Proficient in MS Word, Excel, PowerPoint, Outlook, and Oracle.
- Strong communication and interpersonal skills, with discretion and tact.
- Excellent organizational skills and ability to prioritize tasks to meet deadlines.
- Ability to work independently and as part of a hybrid work team.
- Maintain confidentiality with sensitive information.
- Certifications: Valid Ontario Driver’s License.
- Desired Knowledge: Familiarity with the travel industry and financial procedures is an asset.

Working Conditions:
- Standard office environment with some physical effort (e.g., lifting arctic gear bags up to 45 lbs).
- Visual and audio focus during extended computer and telephone use.
Training Provided: WHMIS, Security, and Oracle training for OTL and iExpense systems.
