The Opportunity

TSPi is seeking a Receptionist III to support professional and scientific work for the National Institutes of Health (NIH). The successful candidate will provide experienced reception, front-office, and administrative support to NIH staff, visitors, and stakeholders. This individual will serve as a key point of contact for the office, coordinate front-office activities, respond to inquiries, support visitors and meetings, and help maintain efficient and professional office operations.

The ideal candidate is an experienced administrative professional with strong communication and customer service skills who can independently manage front-office processes, balance competing priorities, and resolve a range of administrative and visitor-related issues with limited supervision.

Core Responsibilities

  • Serve as a primary point of contact for visitors, callers, staff, and other stakeholders and provide professional and responsive assistance.
  • Greet and assist visitors and coordinate appropriate notifications, directions, and office access procedures.
  • Answer, screen, route, and respond to telephone calls and general inquiries.
  • Monitor shared office communications and route requests and information to the appropriate staff.
  • Coordinate visitor appointments, meeting logistics, conference room needs, and other front-office activities.
  • Maintain reception and common office areas to support professional and efficient daily operations.
  • Receive, sort, distribute, and track mail, packages, correspondence, and other materials as appropriate.
  • Maintain visitor, contact, scheduling, and other administrative records as required.
  • Provide general administrative and clerical support, including preparing correspondence, maintaining files, scheduling activities, and organizing documentation.
  • Support office events, meetings, moves, and other logistical or operational activities as needed.
  • Coordinate with internal teams and external contacts to resolve administrative and front-office issues.
  • Independently assess and respond to difficult or unusual inquiries and determine the appropriate course of action or escalation.
  • Support implementation of office procedures, administrative requirements, and front-office processes.
  • Identify opportunities to improve reception and administrative processes and contribute to practical solutions.
  • Provide guidance or assistance to other administrative personnel as appropriate.
  • Handle sensitive or confidential information and interactions with appropriate professionalism and discretion.

Position Requirements & Preferences

Required Qualifications

  • High school diploma plus 1–5 years of relevant experience.
  • Demonstrated experience providing reception, front-office, administrative, or customer-facing office support in a professional environment.
  • Experience supporting programs, projects, or activities for the National Institutes of Health (NIH).
  • Demonstrated ability to independently manage front-office processes and multiple competing priorities with limited supervision.
  • Experience managing telephone communications, visitors, inquiries, scheduling, and general office administration.
  • Strong customer service and interpersonal skills with the ability to interact professionally with a wide range of individuals.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Demonstrated judgment and problem-solving skills, including the ability to appropriately resolve or escalate difficult inquiries and situations.
  • Proficiency with commonly used office productivity and communication tools.
  • Ability to handle sensitive or confidential information appropriately.

Preferred Qualifications

  • Experience providing reception or administrative support within NIH, HHS, or another federal health or scientific organization.
  • Experience supporting a high-volume or complex professional office environment.
  • Experience supporting scientific, research, health, or policy-focused organizations.
  • Experience coordinating meetings, visitors, events, or other office logistics.

Salary Range

$63,000 – $100,000
