Supply and Logistics Coordinator in New York at Jobgether

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Supply and Logistics Coordinator based in the United States.

This fully remote role supports clinical study execution through tactical sourcing and supply coordination across multiple study requirements. You will help ensure depots, investigational medicinal products, couriers, medical devices, and ancillary supplies are available when and where they are needed. The position combines supplier sourcing, evaluation, contracting, purchasing coordination, and issue resolution within a regulated clinical environment. You will analyze study requirements, advise internal stakeholders, and coordinate with suppliers to maintain quality, compliance, and service levels. The role requires strong attention to detail, responsiveness, and the ability to manage competing priorities in a fast-paced, matrixed environment. You will also contribute to process improvements, supplier qualification, risk mitigation, and knowledge sharing with junior team members.

• Maintain strong working relationships with internal customers, providing professional sourcing guidance and timely assistance across clinical study requirements.
• Monitor sourcing processes, pricing accuracy, purchase requests, approvals, purchase orders, and overall purchasing efficiency to support compliant and cost-effective delivery.
• Conduct commodity research, supplier identification, selection and evaluation, and requests for information, quotations, and proposals.
• Coordinate the sourcing of products and services within approved budgets while ensuring investigational products and ancillary materials meet applicable local import and export requirements.
• Manage the return of rental equipment and medical devices, including coordinating returns and refunds, communicating with suppliers, and obtaining required credit documentation.
• Own and resolve sourcing help desk tickets, prepare and execute Statements of Work, and complete on-demand sourcing activities based on study requirements.
• Analyze sourcing data and trends to support predictive bulk purchasing and identify opportunities to qualify additional suppliers in partnership with Procurement.
• Anticipate sourcing challenges, take ownership of issues through resolution, and work with suppliers to identify comparable, compliant ancillary products when needed.
• Collect and maintain supplier and manufacturer documentation required for import and export activities and ensure appropriate records are available.
• Address quality issues involving third-party suppliers, coordinate corrective actions, and manage risk mitigation activities through resolution.
• Support internal customers with sourcing questions, system-related challenges, and process guidance while mentoring junior team members and contributing to continuous improvement.

• Bachelor’s degree, master’s degree, equivalent qualification, or relevant professional experience in biology, pharmacy, another health-related discipline, international trade, business administration, logistics, or a related field.
• Operational understanding of clinical studies, clinical supply chain activities, sourcing processes, and contracting principles.
• Knowledge of Good Clinical Practice (GCP), Good Distribution Practice (GDP), and other applicable Good Practice requirements.
• Strong sourcing, supplier coordination, analytical problem-solving, and project management capabilities, with the ability to evaluate options and make sound decisions under time pressure.
• Strong Microsoft Office proficiency and the ability to learn and effectively use new systems, tools, and processes.
• Excellent written, verbal, and interpersonal communication skills, with the ability to collaborate across functions, cultures, and matrixed organizational structures.
• Strong organization and time-management skills, with the ability to manage multiple priorities, tight deadlines, and urgent study requirements while maintaining attention to detail and first-time quality.
• Client-focused, accountable, flexible, and self-motivated approach, with the ability to work independently while collaborating effectively with internal and external stakeholders.
• Preferred experience includes 4+ years of sourcing or procurement experience within a contract research organization or pharmaceutical environment.
• Additional experience with sourcing operations, supplier management, cross-functional business teams, process management, and project management is desirable.
