SPORTS EVENTS COORDINATOR
Community First Champion Center
LOCATION: Grand Chute, WI
DEPARTMENT: OPERATIONS
REPORTS TO: GENERAL MANAGER
STATUS: FULL-TIME (EXEMPT)

Community First Champion Center is an elite indoor ice and hard court sports complex in Grand Chute, WI. Our facility is built with the athlete in mind, where the thrill of victory is our inspiration. We are a modern, yet inviting atmosphere where winners play. Whether we are hosting a large tournament or team practice, each event is carefully executed with optimal skill and excellence in mind. POSITION SUMMARY
The Sports Event Coordinator will be responsible for the organization, set-up, and management of events. This position handles scheduling, director, training, and development opportunities to part-time staff during events. The Coordinator will work closely with individual event owners as well as other internal departments (Operations, Marketing, Finance, etc.) in order to successfully accomplish these responsibilities.
PRIMARY RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
- Provides premier customer service to internal and external customers by responding to requests in a timely and professional manner
- Communicates and coordinates courteously and effectively in a family friendly manner with customers, city/county staff, officials, sponsors, volunteers and other outside organizations
- Represents the facility at organization meetings to promote the facility’s events
- Coordinates, directs, and participates in setup and breakdown for all events
- Each one of our event coordinators are responsible for running several of our own Champion Center events, leagues, & local programming
- Oversee and manage Champion Center hosted events and tournaments.
- Recruit teams, handle registration process, create schedules, hire event workers (table workers, referees, athletic training). Opportunities include HS Volleyball Tournaments, HS Basketball Tournaments, Youth Basketball State Tournaments, Spring Hockey Tournaments, Adult Volleyball Tournaments
- Oversee and manage Champion Center hosted leagues.
- Recruit teams, handle registration process, create schedules, hire event workers (table workers, referees, athletic training). Opportunities include Men’s Basketball Leagues, Adult Pickleball Leagues, Youth Hockey Leagues
- Oversee and manage Champion Center hosted programs & teams.
- Recruit players for teams, handle registration process, create practice schedules, hire coaches, register teams for tournaments
- Oversee financial aspects and budgets of these programs to ensure profitability
- Oversee and manage Champion Center hosted events and tournaments.
- Participate in post-event evaluation for all events to identify opportunities for improvement of future events
- Work with the General Manager to maintain consistent records regarding event booking, promotion and performance.
- Supervise, train, manage, and motivate sports and operations staff
- Assist with assignments of appropriate changeover personnel to accurately and efficiently set-up and tear down events
- Complete special projects, daily assignments and other duties as directed by General Manager
- In addition to the responsibilities above, each Event Coordinator oversees some of the following:
- Reaching out to club teams and managing the weekday facility schedule. Scheduling practices, negotiating court rental fees, creating local programming to fill open time
- Sponsorship and community outreach
- Negotiate sponsorship contracts with partners to drive revenue
- Create new advertising opportunities to add additional partners
- Marketing & Social Media
- Create & manage social marketing calendar to drive engagement with our customers both holistically and on an event by event basis
- Create an advertising plan to market Champion Center Events
o Recruit, hire, train event management staff – referees, security, concessions, ticket takers, athletic training, custodial, etc
o Negotiate contracts with event operators to drive tourism & economic impact to our community
QUALFICIATIONS AND EXPERIENCE:
- A bachelor’s degree in recreation, sports management, or related field preferred
- 1-3 years of experience in facility or event management, sports administration or a related field preferred
- Working knowledge of multiple sport rules, regulations, and field/court set-up
- Must have excellent interpersonal, problem solving and negotiating skills
- Must be a team player
- Must have excellent verbal and written communication skills
- Must have excellent computer skills, including Work, Excel, PowerPoint, etc.
- Must be willing to work a flexible schedule, including evenings, weekends, and holidays required
- Must possess current CPR/FIRST AID certifications or must be willing to obtain them within a specified period of time
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
- Must be able to lift 50 pounds waist high
- May be required to sit or stand for extended periods of time whether indoors or outdoors, and squat, stoop, or bend
- Will be required to operate a computer
- Facility has intermittent noise
