Job Description

Maintenance Supervisor

Reports To:

Regional Maintenance Superintendent

General Statement of Duties:

Responsible for the supervision of maintenance staff to ensure the delivery of maintenance and repair services to tenants and the maintenance of non-dwelling spaces and offices.

Supervises:

All staff assigned to the division including Maintenance Specialists, Maintenance Mechanics, Maintenance Trainees, Janitors, and Grounds Staff.

Key Duties and Responsibilities:
  • Provides day-to-day supervision of staff assigned.
  • Assist with the completion of work orders.
  • Performs procurement tasks.
  • Ensure work orders are completed in timely manner.
  • Send weekly report to Regional Maintenance Superintendent.
  • Quality Control Checks of completed work order.
  • Schedules work and monitors performance of assigned staff.
  • Holds staff meetings as necessary.
  • Meet with Property Manager once a week for vacancy updates, property needs and staff performance to ensure building maintenance in accordance with ELM standards.
  • Conducts performance appraisals and takes appropriate personnel actions in accordance with personnel policies and/or contracts.
  • Provides technical assistance to staff as needed.
  • On a daily basis, conducts field inspection of work in progress to determine quality of workmanship and staff productivity.
  • Refers work orders or conditions requiring outside assistance to the Regional Maintenance Superintendent.
  • Responds to tenant complaints and inquiries regarding maintenance repairs and project conditions requiring attention.
  • Responds to emergency work order requests to determine work requirements. Assign appropriate staff to complete work.
  • Monitors staff use of equipment and materials and advises Regional Maintenance Superintendent of same required to assure efficient operations.
  • Prepares and submits reports as requested.
  • Attend walk through for interior and exterior common areas with the UPCS inspectors at each site if schedule permits.
  • Prepare scopes of work.
  • Ensure Make Ready units are completed within time frame scheduled.
  • Perform other duties as assigned by the Regional Maintenance Superintendent and Property Supervisor.

Performance Standards:

  • Attendance is reliable; leave does not exceed the amount permitted, the employee has no unexcused absences from the job and the employee is available to work during non-business hours when the need arises.
  • Employee takes all appropriate safety precautions to avoid on-the-job accidents.
  • 100% of emergency work orders are completed within one day.
  • 100% of urgent work orders are completed within two days.
  • All work completed meets quality standards established by the Regional Maintenance Superintendent.
  • Employee assures that company tools, materials and equipment are operated efficiently, properly and safely.
  • 100% of job related documents (reports, timesheets, etc.) are prepared properly and on a timely basis.
  • Site visits and inspections of work in progress are conducted daily.
  • Random site inspections reveal that the jobs have been completed in a professional manner.
  • The employee has demonstrated the ability to work cooperatively with both tenants and staff in the opinion of the Regional Maintenance Superintendent.

Qualifications:

Education: High School Diploma. Two years of college or trade school desirable.

Experience: A minimum of five years experience in residential maintenance, rehab or construction. At least one year’s experience in a supervisory capacity.

Special Skills:

  • Excellent supervisory skills and ability to communicate effectively with subordinates and superiors to ensure productivity and good work habits.
  • Ability to plan and organize work load.
  • Ability to read, write and prepare reports.

Other Requirements:

  • Excellent employment and character references.

Valid driver’s license and safe driving record.
