Description:

The Front Desk Receptionist is responsible for providing a welcoming, professional, and efficient experience for patients while supporting the daily administrative operations of the dermatology practice. This position serves as the first point of contact for patients and plays an important role in maintaining an organized and efficient patient flow.

The ideal candidate will have excellent customer service and communication skills, strong attention to detail, and the ability to multitask in a fast-paced medical office. Previous dermatology or specialty medical office experience is preferred.


Essential Duties and Responsibilities
  • Greet patients and visitors in a friendly, professional, and courteous manner.
  • Check patients in and out accurately and efficiently.
  • Verify and update patient demographic and insurance information.
  • Collect copayments, deductibles, balances, and other patient payments as required.
  • Answer incoming telephone calls and direct calls to the appropriate department or team member.
  • Schedule, reschedule, and confirm patient appointments.
  • Assist with coordinating appointments for dermatology consultations, procedures, follow-ups, and other services.
  • Assist with scheduling surgical and procedural appointments when applicable.
  • Verify insurance eligibility and benefits as directed.
  • Obtain and process referrals and authorizations when required.
  • Review daily schedules and assist with maintaining efficient patient flow.
  • Communicate patient questions, concerns, and requests to the appropriate clinical or administrative staff.
  • Maintain accurate patient information and documentation within the electronic medical record (EMR).
  • Scan, upload, and route medical records, referrals, insurance information, and other documentation.
  • Assist patients with registration paperwork, forms, and general questions.
  • Provide patients with appropriate appointment and procedure information and instructions.
  • Assist with obtaining outside medical records, pathology reports, and other documentation when needed.
  • Monitor and respond appropriately to patient messages and administrative requests.
  • Communicate with insurance companies, pharmacies, referring providers, and other healthcare organizations as necessary.
  • Maintain patient confidentiality and comply with HIPAA and all applicable privacy regulations.
  • Maintain a clean, organized, and professional reception and waiting area.
  • Work collaboratively with dermatologists, medical assistants, nurses, surgical staff, billing personnel, and other members of the practice.
  • Provide exceptional customer service and maintain a professional demeanor with patients, families, and visitors.
  • Follow all company policies, procedures, safety requirements, and compliance standards.
  • Perform other administrative duties as assigned.
Requirements:
  • High school diploma or equivalent required.
  • Previous medical office, healthcare, or front desk experience preferred.
  • Previous dermatology or specialty practice experience is a plus.
  • Knowledge of medical terminology preferred.
  • Experience with electronic medical records (EMR) systems preferred.
  • Strong computer and data-entry skills.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize responsibilities in a busy medical office.
  • Ability to maintain professionalism when interacting with patients who may be anxious, frustrated, or concerned about their care.
  • Ability to work effectively as part of a team.
  • Bilingual English/Spanish preferred.
Preferred Experience
  • Dermatology office experience.
  • Experience scheduling dermatology procedures or surgeries.
  • Experience coordinating pathology, referrals, or outside medical records.
  • Familiarity with insurance verification and authorization processes.
  • Experience working in a high-volume specialty practice.

Work Environment

This position is performed onsite in a professional dermatology medical office. The Front Desk Receptionist will regularly interact with patients, physicians, clinical staff, and other members of the healthcare team and is expected to maintain a welcoming, professional, and patient-focused environment.
