REGISTRAR / SCHEDULER - PT/OT

Position Summary

The Registration Scheduler Clerk creates accurate and thorough registrations. The Registration Scheduler Clerk secures appropriate signatures, financial information and documents for treatment and billing purposes. The Registration Clerk interacts in a customer-focused and compassionate manner to ensure patients’ and their representatives’ needs are met, and that they understand the hospital’s policies as it relates to professional, efficient, and quality customer services.

Department Summary

Outpatient Therapy Services provides physical, occupational and speech therapy services to patients on an outpatient basis. Some locations also provide other ancillary services such as massage therapy or fitness/sports medicine, while other locations share space with services such as cardiac rehab. Each Therapy location staffing varies based on patient volumes and services, including different specialty services.

Qualifications

  • High school graduate or equivalent.
  • Clerical experience and Microsoft Office proficiency are preferred.
  • Ability to type at least 35 wpm.
  • Familiarity with medical terminology, useful.

Skills

  • Basic to moderate complexity computer skills.
  • Communicate effectively in person, via telephone and other electronic communications.
  • Ability to create and maintain organizational systems for efficient working environment.

Department Skills

  • Basic medical terminology knowledge, with ability to learn expanded therapy related terminology.
  • Basic to advanced customer service interaction experience.

Responsibilities & Expectations

  • Completes registration and check-in tasks including but not limited to therapy patient registration, insurance verification, patient scheduling/rescheduling, and new patient processing.
  • Assists with clerical tasks including but not limited to charge posting, statistic reporting, insurance tracking, faxing, filing, chart organization, and data entry for therapy and fitness/sports medicine as needed.
  • Assists with supply ordering and inventory control under the direction of manager.
  • Keeps the UD informed of any significant problems or concerns.
  • Responds to patient/family complaints using HRO Tools/Tones and directs appropriately including deferring to management chain of command when needed.
  • Orients new personnel and volunteers/students to charts, forms, fitness center check-in system, and office equipment and procedures.
  • Provides peer review of job performance of co-workers on a regular basis.
  • Assists with the quality improvement program by reviewing, recommending or implementing quality improvement processes as needed or as directed.
  • Assists with compliance of facility operations with federal, state and local rules and regulations.
  • Consistently communicates with all patients, families, customers, providers and other personnel in a professional, respectful and courteous manner; both in person and via telephone and electronic communications.
  • Demonstrates flexibility in meeting the needs of the program and responds positively to changes in workflow.
  • Promotes teamwork by demonstrating willingness to assist others in meeting the needs of all individuals and collaborating effectively with the interdisciplinary team and other departments throughout the organization.
  • Complies with infection control and safety policies.
  • Completes annual competency requirements.
  • Consistently communicates requests, suggestions, concerns or problems to the appropriate personnel.
  • Consistently completes assigned responsibilities in required time frame, accepts additional duties and responsibilities as requested by UD, and reports any complications or delays.
  • Consistently maintains a professional appearance in accordance with department dress code.
  • Maintains Aultman standards of confidentiality, including the HIPAA Privacy Rule.
  • Creates and fosters a positive work environment that is consistent with the Mission, Vision and Values of the Aultman Health Foundation.
  • Supports strategic organizational goals.
  • Abides by the Aultman Code of Conduct at all times.
  • Excellent interpersonal and oral/written communication skills; strong organizational and problem-solving skills; ability to stimulate new ideas.
  • Demonstrates accuracy in data entry.
  • Maintains up to date knowledge of therapy scope of service for assigned location, as well as other general services within building.
  • Ability to appropriately direct patients to correct service areas.
  • Attends to incidental comfort and safety needs of patients and visitors in waiting areas; ensures cleanliness of waiting areas.
  • Has the ability to communicate with patients under mental and/or physical stress.

Working Conditions

  • Hours of operation with shifts as assigned including occasional overtime, on-call or off-shifts (evenings and/or weekends) scheduled as necessary.
  • May be assigned to work as needed at other therapy locations.
  • Lunch and break periods must be coordinated with other staff members to maintain adequate staffing during hospice hours of operation.
  • Subject to frequent interruptions and changes in priority of duties throughout the day.
  • Subject to emergency and other crisis situations.
  • Performing patient care responsibilities as directed/required within scope of role.

Hazardous Exposure Category

Category III - Includes tasks that involve no exposure to blood, body fluids, or tissues and Category I tasks are not a condition of employment. The normal work routine involves no exposure to blood; body fluids or tissues (although situations can be imagined or hypothesized under which anyone anywhere might encounter potential exposure to body fluids.) Persons who perform these duties are not called upon as part of their employment to perform or assist in emergency care or first aid or to be potentially exposed in some other way.
