ACCOUNTING SUPERVISOR

Department: Accounting / Finance
Reports To: Controller / Director of Finance
Classification: Exempt
Location: Cayey, PR

POSITION SUMMARY

The Accounting Supervisor is responsible for overseeing daily accounting operations, supervising accounting staff, and supporting the accuracy, completeness, and timely preparation of the Company’s financial records.

This position plays a key role in monthly, quarterly, and year-end closing processes, account reconciliations, financial reporting, internal controls, and compliance. The Accounting Supervisor also supports accounting activities across multiple legal entities and business units and works closely with management to maintain effective financial processes and controls.

The ideal candidate has strong technical accounting knowledge, leadership experience, attention to detail, and the ability to manage multiple priorities in a fast-paced, multi-company environment.

KEY RESPONSIBILITIES

Financial Operations & Reporting

  • Coordinate and support monthly, quarterly, and year-end financial closing processes.
  • Review general ledger entries, journal entries, trial balances, and account reconciliations for accuracy and completeness.
  • Review balance sheet accounts and investigate and resolve discrepancies in a timely manner.
  • Prepare and analyze monthly financial statements, including the Income Statement, Balance Sheet, and Cash Flow Statement.
  • Ensure accounting transactions are properly recorded and supported by appropriate documentation.
  • Oversee Accounts Payable (AP), Accounts Receivable (AR), payroll accounting, and expense-related accounting processes.
  • Monitor bank reconciliations and ensure outstanding items are investigated and resolved.
  • Review and reconcile intercompany transactions and balances among related entities.
  • Assist with fixed asset accounting, depreciation schedules, and related reconciliations.
  • Support inventory and cost-of-goods-sold accounting and reconciliation processes, as applicable.
  • Maintain accurate accounting records across multiple legal entities and business units.

Compliance & Internal Controls

  • Ensure accounting activities are performed in accordance with U.S. GAAP, established Company policies, and applicable federal and Puerto Rico requirements.
  • Develop, document, implement, and maintain accounting procedures, internal controls, and Standard Operating Procedures (SOPs).
  • Identify weaknesses in accounting processes and recommend appropriate corrective actions.
  • Ensure adequate supporting documentation and audit trails are maintained for accounting transactions.
  • Assist with federal and Puerto Rico tax and regulatory compliance requirements in coordination with management and external advisors.
  • Coordinate internal and external audit requests and prepare supporting schedules and documentation.
  • Serve as a primary accounting contact for auditors under the direction of the Controller or Finance leadership.
  • Support the timely implementation of audit recommendations and corrective actions.

Team Leadership & Supervision

  • Supervise, mentor, and provide guidance to accounting personnel, including accountants, bookkeepers, and AP/AR staff.
  • Assign responsibilities and establish priorities to ensure deadlines and departmental objectives are met.
  • Review work performed by accounting staff for accuracy, completeness, and compliance with established procedures.
  • Monitor employee performance and provide ongoing coaching and feedback.
  • Assist with performance evaluations and employee development plans.
  • Identify training needs and provide guidance on accounting procedures, systems, internal controls, and compliance requirements.
  • Promote accountability, collaboration, accuracy, and continuous improvement within the Accounting Department.

Financial Analysis, Budgeting & Process Improvement

  • Assist management with the preparation of annual budgets and financial forecasts.
  • Perform budget-to-actual and period-over-period variance analyses.
  • Research significant financial variances and provide explanations and supporting documentation.
  • Identify trends, financial risks, accounting discrepancies, and opportunities for operational improvement.
  • Assist in developing financial reports and analyses for management.
  • Collaborate with department managers and business unit leaders to ensure proper accounting treatment and financial alignment.
  • Identify opportunities to improve accounting processes through automation, system enhancements, and workflow improvements.
  • Participate in accounting and finance projects as assigned by management.

EDUCATION & EXPERIENCE

  • Bachelor’s degree in Accounting required.
  • Minimum of five (5) years of progressive general accounting experience.
  • Minimum of one (1) to two (2) years of supervisory or leadership experience within an accounting or finance environment.
  • Experience working with multiple legal entities or business units strongly preferred.
  • Experience in retail, food service, wholesale, distribution, or inventory-based operations preferred.
  • Experience with financial closing, reconciliations, financial reporting, and internal controls required.
  • Experience with Puerto Rico accounting, tax, and regulatory requirements preferred.
  • CPA (Certified Public Accountant) or CMA (Certified Management Accountant) preferred but not required.

TECHNICAL SKILLS

  • Strong knowledge of U.S. GAAP and general accounting principles.
  • Proficiency with accounting and ERP systems; experience with Sage and/or QuickBooks preferred.
  • Advanced proficiency in Microsoft Excel, including:
    • PivotTables
    • XLOOKUP
    • SUMIFS
    • Data analysis and reconciliation
    • Financial modeling
    • Power Query preferred
  • Strong understanding of general ledger accounting, journal entries, account reconciliations, AP, AR, payroll accounting, and financial statement preparation.
  • Ability to analyze large volumes of financial information and identify discrepancies or trends.
