Job Summary
Omninet Capital is seeking a polished, organized, and highly dependable Receptionist/Office Coordinator to serve as the first point of contact for employees, visitors, and business partners at our Beverly Hills corporate office. The Receptionist maintains a welcoming, professional front-office environment, manages incoming communications, supports daily office operations, and provides administrative assistance to leadership.
The ideal candidate demonstrates excellent judgment, strong communication skills, attention to detail, and a proactive approach to supporting a fast-paced workplace.
Key Responsibilities
Reception & Front-Office Support
- Greet employees, visitors, candidates, and business partners in a warm and professional manner.
- Maintain an organized and welcoming reception area.
- Answer, screen, and route incoming telephone calls and general inquiries.
- Manage visitor access, notifications, sign-in procedures, and conference room coordination.
- Receive, sort, and distribute incoming mail, packages, and deliveries; coordinate outgoing mail, courier services, and shipments as needed.
- Maintain awareness of scheduled visitors, meetings, interviews, and office events.
Office Operations
- Keep the entire office organized and clutter-free, regularly going through storage boxes and shared spaces to sort, consolidate, and properly store or discard materials.
- Serve as the primary point of contact for day-to-day office needs, proactively identifying and resolving operational issues.
- Help ensure the corporate office remains clean, organized, properly supplied, and ready for internal and external meetings.
- Monitor and maintain inventory of office, kitchen, beverage, and hospitality supplies; coordinate recurring supply orders and occasional purchasing trips while remaining mindful of budget and storage capacity.
- Conduct regular checks of conference rooms, common areas, and the kitchen throughout the day.
- Prepare conference rooms for meetings, including refreshments, materials, and audiovisual setup.
- Coordinate service requests with janitorial staff, building management, maintenance vendors, and repair technicians, following through to resolution.
- Assist with catering, team lunches, company meetings, celebrations, and office events.
- Maintain internal office directories, contact lists, and shared administrative resources.
Administrative Support
- Provide general administrative support to executives and department leaders as needed.
- Prepare and process outgoing FedEx, UPS, USPS, and courier shipments, including creating shipping labels, coordinating pickups, and tracking deliveries.
- Assist with document scanning, copying, printing, filing, and organizing administrative records
- Assist with scheduling meetings, preparing documents, organizing materials, and coordinating meeting logistics.
- Support travel arrangements, reservations, and expense documentation when requested.
- Prepare correspondence, presentations, spreadsheets, reports, and other business documents.
- Maintain accurate electronic and physical records.
- Assist with special projects and provide additional administrative coverage during busy periods.
Qualifications
- Previous experience in reception, office administration, hospitality, customer service, or a similar professional environment.
- Excellent verbal and written communication skills; professional appearance, demeanor, and telephone etiquette.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and respond calmly to changing needs.
- Proactive, resourceful, and service-oriented approach.
- Sound judgment and the ability to handle confidential information appropriately.
- Proficiency with Microsoft Office, Google Workspace, and modern workplace technology.
- Ability to work on-site in Beverly Hills during regular business hours.

Compensation Range: $24-$26, commensurate with experience.
