As a Virtual Scheduling Coordinator, you will play an essential role in creating a smooth and positive patient experience from the very first interaction. You will manage a high volume of inbound and outbound calls while coordinating appointments across multiple medical specialties. The role combines patient service, accurate data management, insurance verification, and schedule optimization. Your attention to detail will help prevent downstream billing issues and claim denials. You will work in a fast-paced, fully remote healthcare environment where empathy, accuracy, and efficiency are highly valued. Success in this position means keeping provider schedules optimized while ensuring every patient interaction is handled professionally and compassionately.
- Manage high-volume inbound and outbound calls to schedule, reschedule, and cancel patient appointments across multiple specialties.
- Collect, enter, and verify accurate patient demographic and insurance information during the scheduling process.
- Conduct basic real-time insurance eligibility checks and communicate information regarding copays, outstanding balances, referrals, and prior authorization requirements.
- Follow provider-specific scheduling templates, visit-type requirements, and clinical guidelines to support efficient clinical workflows and maximize schedule utilization.
- Make appointment reminder and follow-up calls, manage no-shows, and maintain recall and waitlists to help keep provider calendars optimized.
- Deliver empathetic, professional customer service, addressing patient questions and concerns while escalating complex matters when appropriate.
- Protect confidential patient information by adhering to HIPAA requirements, applicable privacy regulations, and established operational standards.
- Consistently meet or exceed performance expectations related to call handling, scheduling accuracy, quality, productivity, and attendance.
- High school diploma or equivalent.
- At least 1 year of experience in a healthcare contact center, medical scheduling, patient access, or a similar healthcare-facing role.
- Familiarity with medical terminology, Commercial insurance, Medicare, Medicaid, and basic revenue cycle management (RCM) concepts.
- Experience using Electronic Health Record (EHR) and Practice Management (PM) systems for scheduling and patient information management.
- Excellent phone etiquette, active listening skills, and a patient-focused, compassionate approach.
- Strong attention to detail and accuracy when entering and verifying demographic and insurance information.
- Emotional intelligence and conflict-resolution skills, with the ability to remain calm and professional when supporting anxious or frustrated patients.
- Ability to work efficiently across multiple software applications in a fast-paced, high-volume environment.
- Strong self-management, organization, and time-management skills suited to a fully remote role.
- $19/hour base salary.
