While our campus is steeped in history, this role is pure hospitality and high-energy sales. We are looking for a dynamic Private Events Sales Associate who is driven by a passion for hospitality and a strategic approach to sales. The Private Events Sales Associate manages the full event lifecycle—from initial lead qualification and persuasive site tours to meticulous contract negotiation and onsite execution. You will act as the primary consultant for weddings and social celebrations in the Brand Overlook Ballroom, among other great onsite locations, leveraging event platforms like Caterease and Prismm to ensure every detail is documented with absolute precision. By fostering strong partnerships with internal departments and the local event community, you will align high-impact private events with our institutional mission while providing a premium, seamless experience for every guest.

Key Responsibilities

Collaborate with AHC staff and cross-functional departments to align events with institutional objectives and the overall mission.Field potential private event inquiries, including weddings, photo shoots, nonprofit functions, and corporate gatherings.Conduct site tours and manage all aspects of event coordination, including booking, contracts, planning, and on-site execution. Work closely with brides to bring their dream ceremony to life, followed by a reception in the Grand Overlook ballroom.Accurately document all event details using event management platforms such as Caterease, Prismm, and Nowsta to ensure seamless execution. Coordinate with internal teams—including Gardens, Guest Experience, Housekeeping, and Security—to deliver a successful and memorable event experience. Build and maintain professional relationships with clients, wedding planners, caterers, decorators, and other vendors to foster open communication and ensure smooth operations. Respond to all client communications promptly, including emails within one business day and calls as quickly as possible, demonstrating a strong sense of urgency. Represent the organization with a friendly, positive, and confident demeanor, balancing warmth with professionalism. Maintain high levels of organization and attention to detail, with the ability to identify inconsistencies and areas for process improvement. Assist with hands-on event setup and breakdown of tables and chairs, both indoors and outdoors, as needed. Attend networking events, trade shows, and industry gatherings to develop new relationships and drive event sales. Contribute to the continuous improvement of marketing collateral and sales materials to ensure alignment with current offerings and brand standards. Participate in regular weekly and monthly coordination meetings with internal stakeholders to ensure shared understanding of event logistics and strategic goals.Qualifications

Bachelor's degree from an accredited college or university.Minimum of two (2) years of guest service experience within the hospitality, venue, or event industry. Proficient in business mathematics with a proven ability to manage event budgets and analyze sales data with accuracy.Advanced skill level in the Microsoft Office Suite (specifically Excel, Word, and Outlook).Ability and willingness to work a flexible schedule, including frequent evenings and weekends based on event volume.Other Requirements
