Operations Manager

Overview
We are seeking a hands-on, accountable, and highly driven Warehouse & Operations Manager to lead our warehouse operations, including Receiving, Inventory Management, Quality Management, Compliance, and Order Fulfillment.
This is not a position for someone who simply manages from a desk. We are looking for a working leader who leads by example, takes ownership, and is willing to step in wherever needed to ensure the team and operation succeed.
The ideal candidate is an experienced warehouse or operations leader who understands that successful operations require discipline, urgency, attention to detail, accountability, and teamwork. You will be responsible for building a warehouse operation that is organized, efficient, compliant, and capable of consistently supporting our customers and the rest of the business.
This position offers significant growth potential for the right individual, with the opportunity to develop into an Operations Director as the company continues to grow.

• Continuously look for ways to improve processes, eliminate waste, reduce errors, and increase efficiency.
Key Responsibilities
Receiving & Inventory Management
• Own the inbound receiving process from arrival through inspection, documentation, system entry, and final put-away.
• Verify accuracy of Bills of Landing, packing slips, purchase orders, quantities, product identification, and other documentation.
• Ensure inventory is properly labeled, organized, located, and accurately reflected in the ERP system.
• Maintain strong inventory accuracy through cycle counts, investigations, and corrective actions.
• Identify and resolve receiving and inventory discrepancies quickly.
• Establish and maintain disciplined warehouse organization and location-control practices.
Quality Management & Compliance
• Develop, implement, maintain, and continuously improve the company's Quality Management System (QMS).
• Ensure warehouse processes comply with applicable company, safety, regulatory, and quality requirements.
• Perform and oversee incoming product inspections and quality-control activities.
• Identify, document, and appropriately manage nonconforming product.
• Lead nonconformance investigations and coordinate corrective and preventive actions.
• Maintain accurate quality and compliance records.
• Prepare for and support internal and external audits and regulatory reviews.
• Ensure employees understand and consistently follow applicable SOPs and quality requirements.
Warehouse Operations
• Lead the daily operation of the warehouse, including receiving, inventory control, order fulfillment, shipping, organization, and cycle counting.
• Ensure customer orders are processed accurately and on time.
• Step into operational activities when required to keep the team on schedule and customer commitments on track.
• Maintain a clean, safe, organized, and professional warehouse environment.
• Establish clear operating procedures and performance expectations.
• Monitor operational performance and address issues immediately rather than allowing problems to accumulate.
• Ensure equipment, work areas, inventory, and documentation are properly maintained.
Leadership & Development
• Supervision of 6 to 10 direct reports
• Lead by example and establish a culture of ownership, accountability, urgency, and teamwork.
• Train, coach, and develop employees to improve their skills and performance.
• Set clear expectations and follow through when expectations are not met.
• Recognize strong performance and develop employees with potential for greater responsibility.
• Build a team that understands that every person plays an important role in the company's success.
• Ensure the team can adapt to changing priorities and respond effectively when unexpected issues arise.
Process Improvement & Documentation
• Develop, document, and maintain Standard Operating Procedures (SOPs), work instructions, forms, and operational records.
• Identify bottlenecks, inefficiencies, recurring errors, and unnecessary costs.
• Implement practical process improvements that increase productivity, accuracy, quality, and accountability.
• Establish and monitor operational KPIs.
• Use data and root-cause analysis to make better operational decisions.
• Continuously improve warehouse processes as the company grows.
Cross-Functional Leadership
Work closely with Procurement, Logistics, Sales, Customer Service, Quality, Finance, and other departments to ensure the warehouse supports the broader business.
The Warehouse & Operations Manager must understand that the warehouse is not an isolated department—it is a critical part of the company's ability to serve customers, protect inventory, maintain compliance, and grow profitably.

We are looking for a leader who asks, "What needs to be done?" rather than "Is that my job?"
Qualifications:
• 5+ years of progressive warehouse, distribution, or operations management experience.
• Demonstrated experience leading and developing warehouse teams.
• Strong knowledge of receiving, inventory control, order fulfillment, shipping, and warehouse processes.
• Experience with quality control, documentation, and compliance processes.
• Strong organizational and problem-solving skills.
• Excellent communication and interpersonal skills.
• Proficiency with ERP systems, inventory-management systems, and Microsoft Office. Fishbowl system experience preferred.
• Demonstrated ability to establish processes, enforce standards, and improve operational performance.
• Strong leadership mindset with a demonstrated history of taking ownership and delivering results.
Preferred:
• Experience with FDA, State Board of Pharmacy, ISO, or similar regulated/QMS environments.
• Experience working with medical devices, dental products, pharmaceuticals, or other regulated products.
• Familiarity with Lean, 5S, Kaizen, or continuous-improvement methodologies.
• Knowledge of OSHA and warehouse safety standards.
• Experience developing and implementing SOPs and quality systems.
• Experience preparing for or participating in regulatory or third-party audits.
• ERP/WMS implementation or process-improvement experience.
