Job Description

CRM Migration & Automation Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a CRM Migration & Automation Specialist based in Canada.

This is a hands-on contract opportunity focused on migrating and modernizing CRM infrastructure across complex business systems.
You will help transition workflows and data from HubSpot to GoHighLevel while ensuring automations, integrations, and sales processes remain reliable.
The role combines CRM architecture, workflow automation, data validation, integration troubleshooting, testing, and technical documentation.
You will work closely with both technical and non-technical stakeholders to translate business requirements into scalable and dependable system workflows.
A key part of the position is identifying risks, edge cases, broken logic, and gaps before they impact users or business operations.
You will also contribute to integrations involving Zapier, Make.com, monday.com, APIs, and webhooks, with opportunities to support smaller technical tasks.
This role is ideal for a systems-minded specialist who enjoys turning complex, fragmented processes into organized, tested, and reliable CRM environments.

Accountabilities:
  • Audit existing HubSpot workflows, forms, fields, pipelines, triggers, lists, tags, and automations, documenting the current environment before changes are made.
  • Support the migration from HubSpot to GoHighLevel, including rebuilding workflows, pipeline automations, forms, fields, triggers, and business logic.
  • Validate migrated CRM data, fields, pipelines, workflows, automations, and user-facing configurations to ensure accuracy and readiness for launch.
  • Review and rebuild sales pipeline workflows covering lead routing, opportunity movement, follow-ups, reminders, notifications, task creation, and field updates.
  • Identify and troubleshoot broken workflows, missing conditions, incorrect triggers, duplicate actions, automation gaps, and data inconsistencies.
  • Support integrations across GoHighLevel, HubSpot, Zapier, Make.com, monday.com, APIs, and webhooks, ensuring information flows correctly between connected systems.
  • Review data mappings, formatting, synchronization, API connections, and webhook behavior, escalating larger development requirements when necessary.
  • Test triggers, conditions, field updates, notifications, pipeline movements, integrations, and other CRM functionality across multiple scenarios and edge cases.
  • Perform post-launch validation and monitor CRM and automation changes to identify and resolve issues quickly.
  • Create and maintain workflow documentation, field maps, process maps, requirements, test results, implementation notes, and handoff materials.
  • Gather business requirements from stakeholders and translate them into clear CRM, workflow, automation, and integration specifications.
  • Identify dependencies, risks, missing information, edge cases, and process impacts before implementation begins.
  • Support technical teams with smaller automation, integration, reporting, scripting, or internal-system tasks where full development involvement is not required.
  • Coordinate across business, operations, implementation, and technical teams to keep requirements, expectations, and project priorities aligned.
  • Help establish a reliable implementation process that reduces automation errors, rework, and confusion for end users.
Requirements:
  • Demonstrated experience working with GoHighLevel and HubSpot, ideally including hands-on CRM migration experience between the two platforms.
  • Experience with Zapier, Make.com, and monday.com, including building or troubleshooting workflows and system connections.
  • Background in Computer Science, Software Engineering, Information Systems, or a related technical discipline, or equivalent hands-on technical experience.
  • Strong understanding of CRM architecture, automation logic, sales pipelines, business workflows, triggers, conditions, and data flows.
  • Working knowledge of APIs, webhooks, data formatting, integrations, and basic programming concepts.
  • Experience testing CRM workflows, automations, integrations, and business processes before and after implementation.
  • Strong data validation and troubleshooting skills, with the ability to identify inconsistencies, broken logic, missing requirements, and potential edge cases.
  • Experience documenting workflows, requirements, process steps, system logic, field mappings, and testing outcomes.
  • Experience supporting CRM implementation, data migration, or automation projects is highly valuable.
  • Familiarity with API integrations, webhooks, process mapping, project management tools, and software implementation environments is an advantage.
  • Basic scripting or programming knowledge in JavaScript, Python, or similar languages is a plus.
  • Strong attention to detail and a structured approach to problem-solving.
  • Excellent communication and coordination skills, with the ability to work effectively with technical and non-technical stakeholders.
  • Ability to manage multiple priorities, deadlines, dependencies, and implementation tasks in a remote environment.
  • Comfortable working independently while knowing when to escalate issues that require deeper development expertise.
Benefits:
  • $45–$75 CAD per hour compensation range.
  • Remote position based in Canada.
  • Contractor engagement with an experienced-level scope.
  • Opportunity to work on a significant HubSpot-to-GoHighLevel CRM migration.
  • Hands-on exposure to CRM architecture, automation, integrations, APIs, webhooks, data migration, and workflow optimization.
  • Opportunity to collaborate with both technical and business stakeholders.
  • Broad ownership across CRM rebuild, automation development, testing, QA, documentation, and implementation readiness.
  • Opportunity to help establish cleaner, more scalable CRM and automation infrastructure.
  • Remote-friendly environment suitable for experienced systems and automation professionals.
