POSITION SUMMARY: The Practice / Clinic Supervisor partners with physicians and all members of the team by efficiently performing a full range of office supervision and administrative duties. Responsible for helping create and ensure a positive patient experience along with a smooth workflow within the practice. As a frontline representative of the office while also ensuring back office operations run smoothly. This position requires efficiency with administrative and general operational functions. Must be confident and possess the ability to maintain a focused and professional demeanor while accommodating different work styles and personalities. Demonstrates consistent sound judgment, making timely decisions in complex situations, and setting priorities among multiple projects. Being thorough and thoughtful with consistent and timely follow-through is essential to success in this role while leading by example.

Requirements:

ESSENTIAL FUNCTIONS:

  • Assists with the supervision of all aspects of day-to-day operations for assigned practice locations under the general supervision and guidance of the VP of Operations.
  • Directly supervises the medical office team ensuring proper staffing by assessing, interviewing, hiring, properly guiding, training and coaching clinic and administrative team members.
  • Ensures accuracy of timecards and approval to Payroll per each bi-weekly pay cycle deadline.
  • Performs team member evaluations in a timely and professional manner with the intent of helping ensure career growth, development, and retention.
  • Collaborative, working closely with team members and other departments as needed to ensure smooth operations.
  • Liaise closely with doctors to help identify areas of improvement for the office.
  • Collaborates as needed with the Chief Compliance Officer and HR to ensure office policies and procedures and any required labor law and other postings are up to date.
  • Creates and manages both doctor and office personnel schedules to ensure proper coordination of coverage, including when team members or doctors may be absent.
  • Develop and implement standardized work to ensure all aspects of the office are appropriately covered.
  • Ensure patient services are provided in an effective, efficient, kind, and professional manner when providing clerical or administrative support.
  • Train front office personnel on how to properly perform patient registration/check in, verify patient information (demographics, employment, insurance), collect copayments and any missing or required paperwork.
  • Works to help ensure steady workflow patterns throughout the office while striving towards uninterrupted service in the practice.
  • Leads by example to ensure patient satisfaction and experience is elevated.
  • Strives to maintain good working relationships with peers, physicians, and all team members.
  • May provide assistance in renewing medical, DEA, Fluoroscopy, and Radiology licenses for physicians.
  • Renews business license and fictitious name permits in a timely manner to ensure compliance.
  • Efficient management of medical and office supplies by evaluating, timely inventory checks, ordering and uploading receipts into the RAMP reimbursement system and also maintains properly documented inventory records.
  • Inspect fire extinguishers monthly and properly documents required records.
  • Creates credit card via ‘RAMP’ for vendors and uploads receipts per established protocol.
  • May help with organizing office and/or lunch meetings as needed or requested.
  • Willingly accepts additional assignments as requested.

QUALIFICATIONS: [Education, Training, Knowledge, Skills, Abilities, and Expected Behaviors]

  • High School Diploma or equivalent with a bachelor’s degree preferred.
  • 3-5 years applicable experience in health care environment in the following areas:

o patient scheduling;

o insurance verification;

o billing and collections and/or patient financial services;

o Team supervision, including timesheet review and approvals.

  • Demonstrates leadership skills reflecting the ability to oversee and coordinate office operations.
  • Must be able to quickly and effectively solve problems that arise in the office on a day-to-day basis with physicians, team members, and patients, including mitigating conflicts that arise under stressful situations timely in a professionally, friendly manner.
  • Reflects good judgement properly determining when it is appropriate to escalate to manager or HR.
  • Ability to build rapport and interact with personnel at all levels within the Company and with vendors and business partners outside the Company.
  • Must demonstrate highly ethical behavior and good judgment including the ability to always maintain the utmost confidentiality.
  • Good listening, verbal, and written communications skills.
  • Must be able to ensure accurate, timely completion of assigned responsibilities/projects.
  • Flexible with the ability to successfully manage ever-changing priorities, as necessary.
  • Leads by example always portraying the Company in a highly professional manner both within and outside of work.
  • Respectfully accepts coaching and guidance understanding it is intended to impart knowledge and help with career development and growth.
  • Highly PC Proficient with good working knowledge of Microsoft Office, including Excel, Word, and Outlook, database systems, finance databases, with report generation a plus.
  • Ability to operate and properly monitor basic office equipment such as copy, fax, and postage machines.
  • Proof of legal eligibility to work in the United States without sponsorship now or in the future.
  • Ability to successfully pass an in-depth background investigation, including credit check and with a clean DMV report.
