Overview

The Client Transportation Liaison is responsible for supporting Community Clinical Research’s study participants get to and from visits safely and on time. This role supports psychiatric clinical trial operations through reliable transportation, clear communication with the research and inpatient unit teams, and shopping and errands that keep the unit running smoothly. The ideal candidate is dependable, calm under pressure, and brings patience, warmth, and discretion to every interaction with participants and their families.

Key Responsibilities

Participant Transportation

  • Transport study participants to and from the site and other approved destinations for study visits, activities, and authorized errands.
  • Follow approved routes, traffic laws, seat belt requirements, and site driving procedures; adjust plans for traffic or weather and communicate delays promptly.
  • Confirm the correct participant, pickup location, destination, and any transport instructions with authorized site staff before each trip.
  • Assist participants entering and exiting the vehicle within training and approved procedures; request staff support when additional assistance is needed.
  • Treat participants with dignity, explain transportation plans clearly, and provide a calm, respectful environment for individuals living with mental health conditions.

Scheduling and Team Communication

  • Review the transportation calendar daily, confirm trip details, and coordinate priorities with the Unit Nurse Manager, Office Manager, recruitment team, and research staff.
  • Notify the appropriate team of arrivals, completed trips, missed pickups, schedule changes, or participant concerns that could affect a study visit.
  • Maintain accurate trip and mileage logs, including pickup and drop-off times, destinations, and other required records; use approved systems to protect participant information.

Vehicle Readiness and Participant Safety

  • Complete routine vehicle safety checks, including tires, lights, seat belts, fuel, and visible damage; report defects promptly and stop use when a concern affects safe operation.
  • Keep the vehicle clean, fueled, and ready for scheduled trips; coordinate routine service and maintain inspection and maintenance records as directed.
  • Follow site procedures for safe handoffs, required supervision, infection prevention, and emergencies. Report accidents, injuries, changes in participant behavior, and other safety concerns immediately.
  • Respond calmly to distress or agitation, use only techniques covered by training, and request clinical or emergency assistance when needed. Refer medical and study questions to authorized staff.

Unit Support and Confidentiality

  • Shop for approved inpatient unit supplies and complete authorized errands; coordinate purchases with the Office Manager or designated leader, retain receipts, and follow purchasing procedures.
  • Deliver release-of-information forms and other approved materials as directed; safeguard documents and route questions about authorization or consent to research staff.
  • Protect participant privacy and follow HIPAA requirements, Good Clinical Practice (GCP), applicable ICH and FDA requirements, and site procedures relevant to assigned duties.
  • Complete required training and perform other related duties as assigned.

Qualifications

  • Class A Driver’s License. Valid driver’s license appropriate for the assigned vehicle, including any required commercial license or passenger endorsement; driving record that meets company and insurer requirements.
  • High school diploma or equivalent preferred; passenger transportation experience preferred, especially in healthcare, clinical research, or behavioral health.
  • Strong communication, organization, and time management skills; reliable attendance and sound judgment when priorities or road conditions change.
  • Compassionate, professional communication with individuals living with mental health conditions; ability to recognize concerns and escalate promptly.
  • Comfort using GPS, a smartphone, and scheduling or trip-tracking systems; ability to complete required driver safety, privacy, GCP, and site-specific training.

Physical Demands and Work Environment

Work involves extended periods of driving and sitting, frequent vehicle entry and exit, walking, standing, reaching, bending, and handling supplies weighing up to 50 pounds using safe methods and assistance as needed. The role includes exposure to traffic, changing weather, and an inpatient psychiatric research setting. Essential functions may be performed with or without reasonable accommodation.

Cultural Values Fit

• Patients First —Every decision starts with the person in front of us. Quality and patient safety come first, no exceptions.

• Hustle Harder —We start trials and enroll patients faster than almost anyone in the industry, and we hold ourselves to being easy to work with, not just quick.

• Authenticity, Always — We say what's true, expect the same in return, and treat “no surprises” as a promise we keep, not a slogan on a wall. We'd rather show up as our normal selves than a polished version that doesn't hold up.

• Serve with Joy — This is a people-first business before anything else. The work is complex, but we still find ways to have fun and take care of each other. When we make an impact, big or small, we celebrate it out loud.

• Excellence Together — Great research is never one person's win. Every role, from feasibility to quality, owns the outcome together, and one shared operating model keeps every site aligned. We win together or not at all.
