The Opportunity
Community Catalyst is a national nonprofit health justice organization seeking a Grants Manager to lead post-award administration of our portfolio of federal, state, foundation, and corporate grants and contracts. Reporting to the Director of Accounting & Finance, you'll serve as a key cross-functional partner to Finance, Programs, Advancement, and organizational leadership — owning the grants lifecycle from award handoff through implementation, monitoring, reporting, subgrant administration, and closeout.
Grants & Contracts Administration- Manage post-award administration of federal, state, private foundation, corporate, and other grants and contracts.
- Maintain a comprehensive, accurate inventory of all active grants, contracts, cooperative agreements, and subgrants.
- Review executed agreements to ensure financial, programmatic, and compliance requirements are documented, communicated, and monitored.
- Coordinate structured post-award handoffs among Advancement, Programs, Finance, and other departments.
- Coordinate amendments, budget modifications, no-cost extensions, renewals, and closeouts, maintaining appropriate documentation and audit trails.
- Partner with finance, revenue, and program leaders to monitor grant budgets and spending throughout the award period. Each grant or contract must be reviewed the finance, revenue, and program leaders no less than once per month to discuss/track grant progress
- Track grant revenue, expenditures, remaining balances, commitments, and anticipated spending, and monitor staffing allocations against approved budgets.
- Monitor budget-to-actual performance and identify significant variances, underspending, overspending, or other financial risk.
- Prepare and/or coordinate financial reports, invoices, reimbursement requests, and other required funder submissions.
- Support revenue recognition, forecasting, cash-flow planning, reconciliations, and financial reporting, coordinating with Finance to ensure grant transactions are properly recorded.
- Support annual audits, Single Audits, funder audits, NICRA calculation, and other monitoring reviews.
- Administer and maintain centralized oversight of subgrants, subawards, and partner agreements funded through organizational grants and contracts.
- Ensure subgrant agreements are developed, reviewed, approved, and executed before work or payments begin.
- Maintain a comprehensive subgrant tracker covering partners, prime awards, agreement terms, deliverables, reporting, payment schedules, budget status, and compliance requirements.
- Monitor partner performance and expenditures against contractual deliverables and approved budgets; support subrecipient risk assessment, particularly for federally funded awards.
- Escalate delinquent reporting, performance concerns, or other subrecipient risks, and coordinate timely closeout of subgrants and partner agreements.
- Develop, maintain, and regularly distribute an organization-wide grants, contracts, and subgrants dashboard covering budget-to-actual performance, deliverables, reporting deadlines, and renewal/expiration dates.
- Provide routine portfolio reporting to the Director of Accounting and Finance and periodic executive-level reporting to senior leadership.
- Proactively identify, communicate, and escalate financial, compliance, and contractual risks — including missed deliverables, budget variances, work beginning without an executed agreement, unsupported expenditures, and subrecipient compliance concerns.
- Maintain working knowledge of applicable federal, state, private foundation, and contractual grant requirements, including 2 CFR Part 200 (Uniform Guidance) and subrecipient monitoring requirements.
- Ensure appropriate financial and programmatic documentation is maintained for grants and subgrants.
- Support development and implementation of grants-management policies, procedures, internal controls, and standard operating procedures, identifying opportunities to strengthen controls and reduce risk.
- Minimum 5-7 years of progressively responsible experience in grants management, grants administration, sponsored programs, nonprofit finance, contracts management, or a closely related field.
- Demonstrated experience administering and monitoring federal, state, and private grants and contracts, and strong knowledge of post-award grants management (budgeting, financial reporting, compliance, deliverables tracking, renewals, amendments, closeout).
- Demonstrated experience administering and monitoring subgrants, subawards, subrecipients, and partner agreements.
- Working knowledge of federal grant requirements, including 2 CFR Part 200 (Uniform Guidance) and applicable subrecipient monitoring requirements.
- Strong financial and analytical skills, including experience reviewing grant budgets, expenditures, forecasts, and budget-to-actual results.
- Experience preparing or coordinating funder reports, invoices, reimbursement requests, and other required grant submissions.
- Experience developing and maintaining grant-management dashboards, trackers, calendars, and reporting tools.
- Demonstrated ability to manage multiple grants, deadlines, reporting requirements, contracts, and stakeholders simultaneously, with strong project-management, organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills, and demonstrated ability to identify, communicate, and appropriately escalate financial, compliance, contractual, and programmatic risks.
- Supervisory experience preferred; this role does not currently have direct reports but may take on staff supervision as the grants portfolio and team grow.
- Bachelor's degree in Business Administration, Finance, Accounting, Public Administration, Nonprofit Management, or a related field (candidates without a degree who bring 8-10 years of substantial, directly relevant grants-management experience will be strongly considered).
- MBA and/or CPA designation is a plus.
- Experience managing a complex portfolio of federal, state, and private grants and contracts.
- Experience supporting federal audits, Single Audits, funder monitoring reviews, or similar compliance activities.
- Experience working in a nonprofit or mission-driven organization with multiple funding sources.
- Experience with Salesforce, NetSuite, or comparable CRM, grants-management, and financial systems.
- Advanced Excel skills and experience developing dashboards and management reporting.
The successful Grants Manager will bring structure, visibility, and accountability to the organization's grants and contracts portfolio. This person will help ensure that grant requirements are understood, deadlines are met, budgets and subgrants are actively monitored, risks are identified early, and leadership has reliable information to support sound financial and programmatic decision-making.
Work Environment & Physical Requirements
This is a remote, office-based position performed from a home or remote workspace using standard office equipment and technology. Occasional travel may be required based on organizational needs. The role involves extended periods of sitting, regular computer use, and virtual communication. Compensation & Benefits
The salary range for this position is $90,000– $115,000 based on a full-time schedule. Placement within the range is determined by role scope, relevant experience, skills, geographic considerations, and internal equity. Compensation is reviewed and approved in accordance with Community Catalyst’s compensation framework and organizational policies.
