Music Publishing Administrator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Music Publishing Administrator based in the United States.

This role offers an opportunity to join a fast-paced music publishing environment supporting the accurate administration of valuable music catalogs.
You will help ensure publishing metadata, registrations, ownership information, and rights-related records remain accurate and up to date.
A key part of the position involves working with collection societies, publishers, and clients to resolve claims and split disputes efficiently.
You will combine careful data management with research skills to investigate song histories, credits, recordings, and catalog information.
The role also provides exposure to publishing contracts, client onboarding, licensing initiatives, and broader music-rights operations.
Success requires strong attention to detail, excellent organization, and the ability to manage competing priorities without losing accuracy.

Accountabilities:
  • Metadata management: Organize, maintain, review, and update music publishing metadata within internal databases, ensuring records remain accurate and complete.
  • Client onboarding: Support the onboarding of new clients and administration of publishing contracts, ensuring relevant information and documentation are properly captured.
  • Rights registrations: Complete registrations with collection societies and help ensure works and related assets are accurately represented across relevant systems.
  • Dispute resolution: Investigate and resolve claims, ownership issues, and split disputes involving publishers and collection societies.
  • Client support: Respond to publishing-related questions and inquiries from clients, providing clear, timely, and professional assistance.
  • Catalog research: Research catalogs, song histories, songwriter and recording credits, and other relevant information to support publishing administration and rights-management activities.
  • Publishing support: Provide administrative and operational assistance across publishing initiatives, including licensing-related projects.
  • Data organization: Manage large volumes of rights and catalog data efficiently while maintaining a high level of accuracy and consistency.
  • Cross-functional collaboration: Work closely with publishing colleagues, clients, publishers, and collection societies to ensure issues are addressed and workflows remain efficient.
  • Additional support: Contribute to broader departmental priorities and take on other responsibilities as needed.
Requirements:
  • Education: Bachelor’s degree in Business Administration, Marketing, Music, or a related field.
  • Industry experience: 1–3+ years of experience in music publishing administration or a closely related field.
  • Music industry background: Experience working for a music publishing company or record label is an advantage.
  • Rights-management knowledge: Familiarity with collection societies and publishing organizations such as ASCAP, BMI, Harry Fox, and the MLC, including experience handling claims or disputes.
  • Data management: Experience working with databases or data-management systems and the ability to organize large volumes of information accurately.
  • Research skills: Strong ability to conduct basic research, investigate catalog information, and identify relevant insights from multiple sources.
  • Client service: Strong interpersonal and client-service skills, with a professional and solutions-oriented approach to inquiries and complex issues.
  • Communication: Excellent written and verbal communication skills, with the ability to explain publishing-related matters clearly.
  • Organization: Strong time-management and prioritization skills, particularly when handling multiple deadlines and competing requests.
  • Technical proficiency: Comfortable using macOS, Microsoft Office, and Google Workspace.
  • Music technology: Experience with Label Engine or music distribution platforms such as DistroKid, TuneCore, or CD Baby is preferred.
  • Attention to detail: Highly organized and meticulous, with the ability to maintain accuracy across complex rights and metadata records.
Benefits:
  • Compensation: $20–$23 per hour.
