Customer Service and Administrative Support in Rockford, Illinois at KADON PRECISION MACHINING, LLC

Kadon Precision Machining is seeking a professional, organized, and dependable Customer Service Assistant to join our team. This position supports daily customer service and administrative operations in a busy, fast-paced manufacturing environment.

The ideal candidate will be a team player with excellent communication skills, a positive attitude, and the ability to remain professional and organized while managing multiple priorities. This role requires someone who is comfortable working in a high-volume environment where priorities can change quickly and deadlines are important.

Essential Duties and Responsibilities

• Answer incoming phone calls in a professional and courteous manner, directing calls to the appropriate individuals or departments.
• Greet visitors, customers, and vendors and ensure they are directed appropriately.
• Provide administrative and clerical support to the Customer Service department.
• Assist with customer order entry, processing, and maintaining accurate records.
• Respond to customer inquiries and assist with routine requests.
• Communicate professionally with customers, vendors, coworkers, and management by phone, email, and in person.
• Assist with preparing and maintaining customer documentation, reports, and correspondence.
• Coordinate with internal departments, including production, shipping, and quality, as needed.
• Manage multiple tasks and changing priorities while maintaining accuracy and attention to detail.
• Work collaboratively with team members to ensure customer needs and departmental deadlines are met.
• Maintain a professional and welcoming front-office environment.
• Perform additional administrative and customer service duties as assigned.

• Experience in customer service within a high-volume manufacturing environment is a plus.
• Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
• Excellent verbal and written communication skills with a professional and courteous demeanor.
• Strong organizational skills and attention to detail.
• Ability to multitask, prioritize responsibilities, and work efficiently in a fast-paced, sometimes stressful environment.
• Ability to remain calm, professional, and solution-oriented when handling competing demands.
• Strong interpersonal skills and a team-oriented attitude.
• Dependable, self-motivated, and willing to assist wherever needed.
• Ability to maintain confidentiality and handle sensitive business information appropriately.
• Experience with ERP systems or customer order management software is a plus.
