Position Summary
The Executive Assistant to the President serves as the primary administrative support professional to the President of Bluefield University and is responsible for managing the daily operations of the President's Office. This position requires exceptional organizational skills, discretion, judgment, and professionalism while serving as a key liaison between the President and internal and external stakeholders. The Executive Assistant coordinates executive communications, manages the President's schedule and travel, prepares correspondence and reports, assists with Board of Trustees activities, and ensures the efficient operation of the President's Office. The position requires the ability to handle sensitive and confidential information while representing the Office of the President with excellence and professionalism.
Essential Duties and Responsibilities
Executive Office Administration
- Manage and maintain the President's complex calendar, appointments, meetings, and travel schedule.
- Coordinate scheduling priorities and ensure effective use of the President's time.
- Serve as the primary point of contact for the President's Office.
- Screen calls, correspondence, and requests for appointments.
- Prepare meeting agendas, materials, briefing documents, and background information for the President.
- Draft, edit, and manage correspondence on behalf of the President.
- Maintain confidential files, records, and documents.
Presidential Communications
- Assist in preparing presentations, remarks, reports, and official communications.
- Coordinate communication between the President and university constituents.
- Manage invitations, event requests, and external engagements.
- Ensure timely responses to inquiries directed to the President's Office.
- Maintain accurate records of presidential activities and communications.
Board of Trustees Support
- Assist with planning and coordination of Board of Trustees meetings.
- Prepare board materials, agendas, reports, and meeting documentation.
- Coordinate logistics for board meetings and committee meetings.
- Maintain board records and governance documents.
- Support communication between trustees and the President's Office.
Event and Meeting Coordination
- Coordinate presidential events, receptions, donor meetings, and special university functions.
- Manage meeting logistics including scheduling, room reservations, catering, and materials preparation.
- Track follow-up items and ensure timely completion of assignments arising from meetings.
- Assist with commencement, inauguration, trustee events, and other presidential functions.
Strategic and Administrative Support
- Assist with special projects and strategic initiatives as assigned by the President.
- Conduct research and gather information to support decision-making.
- Prepare reports, summaries, and briefing documents.
- Coordinate activities involving senior leadership and external partners.
- Monitor project timelines and ensure follow-through on presidential priorities.
Qualifications
Education
- Bachelor's degree required.
Experience
- Minimum of three years of executive administrative support experience required.
- Experience supporting senior executives, presidents, CEOs, or cabinet-level leaders preferred.
- Experience in higher education, nonprofit organizations, or faith-based institutions preferred.
Knowledge, Skills, and Abilities
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Demonstrated ability to exercise discretion and maintain confidentiality.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Proficiency in Microsoft Office Suite and related technology platforms.
- Ability to work independently while exercising sound judgment.
- Strong interpersonal skills and customer-service orientation.
- Ability to interact professionally with trustees, donors, government officials, faculty, staff, students, and community leaders.
