Position SummaryThe Warehouse & Dispatch Manager is responsible for warehouse execution, delivery routing, inventory accuracy, driver oversight, and operational discipline within the branch. Drivers and Warehouse Associates report directly to this role. If the branch does not have this role, responsibilities fall to the Branch Manager.
This is a highly operational, hands-on leadership role. The W&D Manager runs the physical operation of the branch — what gets received, what goes out, how it gets there, and who loads and drives it. Accuracy, safety, team leadership, and a "fix it fast" mentality are critical.
Core Areas of Responsibility1. Dispatch & Routing Leadership- Establish and execute daily delivery routes
- Balance customer priority, geography, and truck capacity
- Monitor Microsoft Teams driver communication channels
- Use GPS tracking to monitor delivery progress in real time
- Prioritize a "Fix It Fast" mentality on delivery issues
- Adjust routes dynamically when priorities shift
- Direct supervisor of all branch drivers
- Ensure DOT compliance (medical cards, licensing, logs, inspections)
- Ensure daily vehicle inspections are completed
- Monitor vehicle maintenance and coordinate repairs
- Ensure packing slip protocol is followed every delivery
- Monitor Ramp credit card documentation accuracy
- Conduct driver performance coaching and reviews
- Ensure all incoming shipments are received properly in NetSuite
- Determine whether product is stock or job-specific
- Inspect freight for damage and document immediately
- Review NetSuite "Orders to Fulfill" and "Orders to Ship" daily
- Ensure order pulling accuracy
- Coordinate with Inside Sales on fulfillment timing
- Maintain organized warehouse layout
- Implement and enforce bin location discipline
- Execute cycle counts on the schedule set by the Purchasing Director
- Alert Purchasing Director on stock issues
- Prevent dead stock buildup
- Own inventory accuracy at the branch level
- Maintain safe warehouse environment
- Enforce PPE standards
- Monitor forklift and equipment safety
- Address unsafe behavior immediately
- Lead warehouse safety culture
- Investigate incidents and implement corrective actions
- Directly manage Drivers and Warehouse Associates
- Conduct performance reviews in coordination with the Branch Manager
- Address performance issues promptly
- Develop team members and identify growth opportunities
- Maintain a positive, professional work environment
- Work with Inside Sales on fulfillment coordination
- Coordinate with Purchasing on stock issues and inter-branch transfers
- Support Branch Manager on operational priorities
- Coordinate with Accounting on delivery documentation and billing discrepancies
- Review Teams for new orders and urgent issues
- Route morning deliveries
- Supervise loading and dispatch
- Monitor driver progress throughout the day
- Review "Orders to Ship" and "Orders to Fulfill" in NetSuite
- Oversee receiving and put-away
- Plan next-day deliveries
- Maintain warehouse organization
- Review vehicle maintenance logs and schedule repairs
- Review DOT compliance documentation for every driver
- Conduct inventory spot checks
- Review routing efficiency and identify improvement areas
- Address recurring delivery issues
- Review team performance and coaching needs
- Evaluate warehouse layout improvements
- Recommend equipment needs (forklifts, vehicles, shelving)
- Review staffing capacity and seasonal needs
- Support performance reviews for Drivers and Warehouse Associates
- Improve routing and inventory processes
- Participate in branch-level performance review and budget planning
- Authority over routing and dispatch decisions
- Authority over driver and warehouse associate discipline (in coordination with Branch Manager)
- Authority over warehouse organization and layout
- Authority over daily fulfillment and scheduling decisions
- Authority to escalate safety violations and stop unsafe work
- Escalation to Branch Manager for major hiring, compensation, capital purchases, or significant operational changes
- Efficient routing with on-time deliveries
- Accurate order fulfillment and clean documentation
- Organized, clean warehouse
- Minimal inventory discrepancies
