As a ProColor Collision Customer Service Representative, you'll play a key role in creating an outstanding experience for every customer who walks through our doors, delivering a legendary customer experience from vehicle intake through delivery. As a brand ambassador, the CSR ensures every customer interaction reflects professionalism, transparency, and care. Key Responsibilities
- Deliver an exceptional customer experience aligned with ProColor best practices and LEI performance standards
- Greet customers and manage vehicle intake and delivery processes
- Conduct vehicle walk‑arounds; document related and unrelated damage
- Take photos of vehicle condition and upload documentation into the Business Management System (BMS)
- Explain the repair process clearly and set expectations with customers
- Prepare and process intake, delivery, and payment documentation (deductibles, customer pay, etc.)
- Schedule and follow up on customer appointments based on shop availability
- Communicate with customers and insurance partners via phone, email, text, and video calls
- Collaborate with the production and sales teams to ensure timely, high‑quality vehicle delivery
- Assign work orders to technicians as required
- Keep the BMS and related systems accurate and up to date
- Support front office operations, administrative tasks, filing, and data entry
- Import, verify, and maintain accurate records in accounting systems
- Maintain a clean, organized, and professional front office environment
- Comply with all company policies, procedures, and health & safety standards
- Perform other related duties as assigned
Qualifications & Requirements
- High school diploma or GED required
- Valid driver’s license with a clean driving record
- Previous customer service experience required (body shop experience preferred)
- Administrative or data entry experience (preferred)
- Experience with Mitchell RepairCenter (preferred)
- Estimating experience considered a plus
- Strong negotiation and objection‑handling skills
- Excellent verbal and written communication abilities
- High level of professionalism, discretion, and tact
- Computer proficiency (MS Word, Excel, email systems)
Working Conditions
- Regular use of computers, phones, and office equipment
- Occasional lifting or moving of items up to 50 lbs
- Overtime may be required based on business needs
