The Team You Will Join

You’ll be part of the Admissions team, working closely with Admissions Liaisons, Admissions Leadership, Federal and Special Programs, Reception, and school teams. This team is responsible for guiding prospective families through the early stages of the admissions process and ensuring applications are complete, accurate, and ready for the next step.

The team culture is collaborative, service-oriented, and detail-driven, with a shared commitment to making the admissions experience clear and welcoming for every family. You’ll play an important role in keeping applications moving, supporting families, and helping the team deliver a consistent and responsive admissions experience.

The Difference You Will Make

As an Admissions Representative, you’ll be one of the first points of contact for families beginning their admissions journey. Your work will help prospective students and families navigate the initial application process with clarity, confidence, and support.

You’ll review applications, verify information, identify missing documentation, and communicate next steps while ensuring every interaction is handled with care and professionalism. Through accurate documentation and thoughtful follow-through, you’ll help create a smooth transition to the assigned Admissions Liaison.

Your attention to detail, responsiveness, and commitment to service will help minimize delays, reduce unnecessary rework, and create a positive first impression for the families we serve.

A Typical Day Looks Like

While no two days are exactly the same, you can expect to:

  • Serve as an initial point of contact for prospective students and families through the general Admissions queue and assigned outbound follow-up.
  • Complete Tier 1 Verification Calls, including identity and contact verification, application reviews, applicable Federal Programs indicators, and confirmation of initial admissions information.
  • Review applications and submitted documentation for completeness, identify missing or conflicting information, and communicate clear next steps and deadlines to families.
  • Maintain accurate application notes, statuses, follow-up dates, tags, assignments, and other required documentation in approved systems and trackers.
  • Create required tracker entries, confirm appropriate Tier 2 assignments, and assign applications to the designated Admissions Liaison in accordance with department standards.
  • Respond to routine admissions questions, assist families with application completion, and escalate complex or compliance-sensitive matters through established channels.
  • Collaborate with Admissions Liaisons to ensure complete and accurate application handoffs, minimizing delays and unnecessary rework.
  • Support walk-in coverage, seasonal admissions priorities, and other assigned department responsibilities while meeting service, productivity, and quality expectations.
  • Partner with Admissions Leadership, Federal and Special Programs, Reception, and school teams to resolve questions and support a consistent family experience.
  • This position requires availability to work core business hours of 8:00 AM to 5:00 PM Arizona time, Monday through Friday.

This role balances independent work, family communication, and structured processes and is well-suited for someone who enjoys helping others, managing details, and keeping multiple priorities moving in a fast-paced environment.


Your Expertise Includes

We’re looking for someone who brings:

  • At least one year of experience in customer service, contact center operations, admissions, student services, administrative support, or a related deadline-driven environment.
  • A high school diploma or equivalent.
  • Clear, professional written and verbal communication skills, including strong phone etiquette and the ability to explain multistep requirements in simple, accessible language.
  • Strong organizational and task-management skills, with the ability to manage multiple applications, deadlines, and communication channels.
  • Excellent attention to detail when reviewing application information, documents, notes, and system data.
  • The ability to work independently within established procedures, exercise sound judgment, and recognize when an issue requires escalation.
  • The ability to maintain confidentiality and follow FERPA and other applicable school, state, federal, and organizational requirements related to student information.
  • Comfort using browser-based business systems, email, messaging, and contact-center tools, along with the ability to adapt to new systems and changing processes.
  • The ability to meet established service, productivity, documentation, attendance, availability, and quality expectations.
  • Valid IVP Clearance Card

Bonus points if you also have:

  • Experience in K–12 education, online education, school admissions, registration, or student support.
  • Experience managing a work queue, caseload, or follow-up list in a high-volume environment.
  • Experience with PowerSchool Enrollment, PowerSchool SIS, RingCentral, another contact-center platform, or comparable systems.
  • Bilingual English/Spanish communication skills.
  • Experience reviewing residency, identity, custody, or other compliance-related documentation.
  • Additional education or relevant professional training.

In this role, success means creating a positive and organized start to the admissions journey for prospective families while helping the Admissions team maintain an efficient and consistent process.

  • Families receive timely, accurate, and professional initial support.
  • Tier 1 Verification Calls and initial application reviews are completed accurately and consistently.
  • Application documentation, statuses, assignments, and follow-up activities remain current and complete.
  • Applications transition to Tier 2 and the assigned Admissions Liaison with minimal avoidable rework.
  • Routine questions are resolved efficiently, and complex or compliance-sensitive matters are escalated appropriately.
  • You consistently demonstrate reliability, responsiveness, attention to detail, and strong follow-through.
  • You effectively manage your assigned workload while meeting established service, productivity, and quality standards.
  • You adapt to changing application volumes, school calendars, and department priorities while maintaining a positive family experience.
