About the Role:

The Executive Assistant provides administrative support to their designated Brand President and/or Executive.

Responsibilities:

  • Schedule meetings (in-person and virtual) and brand events, prepare meeting agendas, and schedule conference calls.
  • Prepare reports and financial data.
  • Manage and coordinate Executive’s calendar in Outlook .
  • Answer, screen, and direct all incoming calls, handling issues properly, and transferring or relaying messages internally or externally.
  • Answer, screen, direct and respond on behalf of Executive emails for multiple accounts.
  • Coordinate and manage travel arrangements, bookings, and hotel reservations with our travel department, coordinating reimbursement in a timely manner.
  • Prepare expense reports, prepare, and get approval on purchase orders, review department/brand PTO for approval.
  • Organize and sustain a filing system, filing correspondence, and other records.
  • Manage time effectively to meet and exceed deadlines.
  • Manage Executives time effectively so that he is able focus on the most important tasks.
  • Manage Executives business social media accounts.

Qualifications:

  • Bachelor's degree (B. A., B.B.A., or B.S.) or equivalent from four-year college or university; or Associate's degree (A. A. or A.S.) or equivalent from two-year college or technical school; or one to three years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Proficient in the Microsoft Office Suite.
  • Strong communication, organization, and listening skills.
