POSITION: Resident Representative
FLSA: Exempt
DEPARTMENT: Multi-Family
POSITION SUMMARY
The Resident Representative is responsible for welcoming and engaging prospects, residents, and guests in person and by phone. This role manages the full leasing cycle from initial inquiry through file completion, including application processing, lease preparation, unit showings, and move-in coordination. The Resident Representative also supports renewals, recertifications, and ongoing resident relations in a fast-paced, high-volume community.
This position is based at a 351-unit conventional property in Tampa, FL that serves both market-rate residents and Section 8 Housing Choice Voucher (HCV) recipients. The role requires a team member who is organized, detail-oriented, customer-focused, and available to work Saturdays as part of the regular schedule.
GENERAL RESPONSIBILITIES
• Maintain detailed knowledge of the apartment community, amenities, and surrounding area
• Conduct daily inspections of show apartments and model units to ensure presentation standards are met
• Handle all aspects of leasing, including greeting prospects, touring the community, closing the sale, processing applications in a timely manner, preparing leases, following up with prospects, and obtaining signatures for all lease paperwork prior to move-in
• Manage the full leasing file from application intake through completion, ensuring all documentation is accurate, compliant, and organized
• Process applications for both market-rate and Section 8 Housing Choice Voucher (HCV) applicants in accordance with program requirements
• Consistently document prospect phone and email contacts; accurately complete market surveys
• Maintain an acceptable closing ratio
• Collect and secure rental payments
• Produce reports in a timely, accurate, and complete manner, including monthly market surveys, locator logs, and commission sheets
• Assist in marketing efforts; monitor accuracy of advertisements; document traffic and marketing sources; assist with leasing events, promotions, and weekly outreach
• Post to advertising sources daily as directed
• Maintain organized community office files
• Maintain working knowledge of Fair Housing laws, rules, and regulations governing apartment leasing and management
• Assist in inspections of vacant apartments and coordinate preparation for move-in
• Support resident retention through the renewal program; process lease renewals and as needed
• Report any observed maintenance issues promptly
• Adhere to and comply with all company safety policies and procedures
• Maintain a courteous, professional, and helpful demeanor with residents, prospects, and co-workers at all times
• Must be available for overtime (minimal) , weekend, including Saturdays as part of the regular schedule
• Perform other duties as assigned
Requirements:Required
• Minimum 2 years of experience in a leasing role at a multi-family residential community
• Must have experience at a property of 250+ units
• Demonstrated understanding of the full leasing process from prospect inquiry through file completion, including application processing, lease execution, and move-in documentation
• Experience working with Section 8 Housing Choice Voucher (HCV) residents on a conventional property
• Proficiency in Yardi property management software
• Strong customer service skills with the ability to build rapport with a diverse resident population
• Must be available to work Saturdays as part of the regular work schedule
• High school diploma or equivalent
• Ability to read, write, and communicate clearly in English
• Microsoft Office skills, including Excel and Word
• Mathematical skills to calculate pro-rations and related leasing figures
• Excellent telephone and written communication skills
Preferred
• Bilingual in English/Spanish
• Experience with local housing programs
• Knowledge of Fair Housing laws and landlord-tenant regulations
