Position Summary
TheAdministrative SupportAssistant position is a cross-trained(Student Union AdministrationOffice, Events and Planning Office, and Facilitieswork order system), front-line support role that provides excellent customer serviceand administrativeassistanceacross multiple service areas within the Student Union Building. These service areasincludethe Welcome Desk, AdministrativeDesk,EventsandPlanningOffice, andtheFacilities/Maintenance team. They are the first point of contact for many who enter the Student UnionBuilding,includingstudents, staff, faculty, community members, and more.Administrative SupportAssistants answer questions, direct people to various departments or locations,understand and navigate the work order system,andassistinreserving spaces.They ensure all feel welcome and receive efficient, helpful service. The SUB is looking for a candidate that can begin SUMMER 2026.
Key Responsibilities
General:
Follow established procedures and guidelines
Follow confidentiality guidelines
Crosstrainin multiple desk areas to ensure coverage and operational continuity
Communicate effectively with supervisors and team members
Maintain professionalism and friendly demeanor
Welcome Desk Operations:
Greet andassiststudents, staff, community members, and visitors with professionalism and in a friendly manner
Answeringgeneral questionsregardingcampus locations, referpeople toappropriate contacts, and have a working knowledge of campus information
Maintain a welcoming, organized environment
Ensure logs are up to date and maintained
Administrative Desk Operations:
Perform basic administrative tasks such as filing, scanning, and receivingmail.
Support Administrative Office operations byassistingstaff as needed
Event Planning Operations:
Reserving rooms
Assistwith scheduling andmanagingroom reservations using EMS
Communicatemeeting space availability to customers
Process requests, inquiries, updates, and cancellations
Facilities:
Knowledgeablein navigating work order system
Ability to place and retrieve work orders for facilities team

Required Qualifications:
Strong customer service and communication skills
Ability to multitask and work independently
Basic computer skills and willingness to learn now systems
Strong organization and problem-solving skills
Performs miscellaneous job-related duties as assigned
Preferred Qualifications:
Prior customer service oradministrativeexperience
Prior experience with schedulingandbookingmeetings
Prior experience withwork order systems
Bilingualskills (English/Spanish) preferred
