About the role

Alongside our aesthetics network, Fresh Health delivers telehealth GP and Nurse Practitioner services that support both our practitioners and direct-to-patient care.
We're looking for a Clinical Services Coordinator to join our Clinical Services team - the operational heartbeat of Fresh Health's telehealth services. This is a hands-on, detail-driven role for someone who thrives on keeping the wheels turning, spotting issues before they grow, and bringing structure to a fast-moving environment.
Reporting to the Clinical Workforce & Operations Manager, you'll work closely with telehealth GPs, Nurse Practitioners, and cross-functional teams across Fresh to deliver a reliable, high-quality experience for both practitioners and patients every day.
What you'll do- Keep bookings running cleanly; Own the day-to-day integrity of our Acuity booking system - reconciling completed, cancelled, and DNA appointments daily, following up on no-shows, sending reminders and confirmations, and ensuring the schedule stays accurate and up to date.
- Support practitioners on the frontline; Be the first point of contact for practitioner operational queries- answering questions, triaging issues, managing disruptions, and escalating what needs to go up the chain. When a practitioner is stuck, you're the one who gets things moving.
- Coordinate patient & member and service workflows: File incoming pathology results, notify practitioners for clinical review, and coordinate follow-up where results are missing or outstanding.
- Keep the systems in good shape; Maintain day-to-day administration across operational tools, Acuity, Halaxy, clinical templates, and support the documentation of SOPs, and practitioner resources.
- Pitch in across the team; Provide back-up cover to the Training Admin Coordinator during leave or peak periods on tasks like student booking reconciliation, training reminders, and onboarding logistics.
- 1–3 years' experience in a coordination, admin, or operations role, in healthcare, telehealth, allied health, or a high-volume booking environment.
- Tech-savvy and systems-oriented. You pick up new tools quickly and have hands-on experience with booking platforms (Acuity preferred), practice management tools (Halaxy or similar), Slack, and Google Workspace.
- A clear, calm communicator. Whether you're corresponding with a practitioner or resolving a patient support request, your written communication is professional, accurate, and helpful.
- Detail-obsessed. You can track many moving parts at once - across bookings, practitioners, and patient follow-ups - without things slipping through the cracks.
- A practical problem-solver. You know what to fix yourself and what to escalate. You don't overthink, and you don't leave things sitting. Values-aligned. You lead with kindness, stay humble, and bring real hustle to the work.
