We are pleased to announce the opening for an HR and Recruiting Coordinator who will join our Human Resources team in Huntsville, AL. In this role, you will help deliver a responsive, organized, and candidate-focused recruiting experience while supporting other HR priorities as business needs and recruiting capacity allow.
We are seeking a highly organized, relationship-focused HR and Recruiting Coordinator to manage the daily operation and human curation of nSI's technology-enabled recruiting process. Talent acquisition is the position's primary accountability, including workflow, sourcing, candidate communication, scheduling, applicant tracking, pipeline data, assessments, reporting, and hiring-manager follow-through. During lower-volume periods, the position will support defined HR initiatives under the direction of the Senior HR Generalist and HR leadership.
Responsibilities
The HR and Recruiting Coordinator will manage daily recruiting operations and provide secondary support for defined HR priorities. Recruiting and candidate support take precedence when hiring demand increases. Early focus will be candidate communication and scheduling, requisition tracking, data accuracy and resume ingestion, interview and assessment coordination, basic reporting, and the offer-to-onboarding handoff. As capability and business need develop, responsibilities may expand into proactive sourcing, pipeline development, AI-enabled workflows, analytics, employment-brand support, internal opportunities, and vendor coordination. Duties include:
- Coordinating the full requisition workflow, including gathering approved position information, updating job descriptions, preparing compelling job postings and outreach, tracking approvals, and maintaining current requisition status
- Sourcing active and passive candidates through approved platforms, talent databases, employee referrals, and professional networks, and maintaining pipelines for current openings, recurring skill needs, hard-to-fill positions, and anticipated hiring surges
- Using approved AI-assisted recruiting tools, platform-native capabilities, integrations, and human-supervised workflows to improve search strategies, outreach, resume review, scheduling, reminders, and reporting while validating outputs and following platform, privacy, and company requirements
- Reviewing applicants against approved minimum qualifications and coordinating or conducting preliminary HR screens as assigned, while hiring managers and technical leads retain responsibility for technical evaluation and selection judgment
- Providing timely, professional candidate communication throughout the hiring process, including application follow-up, interview preparation, status updates, on-hold communication, disposition notices, and closing the loop with candidates
- Scheduling interviews, coordinating interview panels, preparing candidate materials, and ensuring hiring teams and candidates receive complete and accurate logistics
- Administering role-relevant practical assessments, collecting structured interview scorecards, monitoring completion, and following up on missing feedback or delayed decisions
- Maintaining accurate information in ADP Workforce Now, the applicant tracking system, and nSI-controlled candidate repositories, including candidate-data ingestion, resumes, notes, statuses, dispositions, source information, duplicate resolution, data hygiene, and prior interactions
- Monitoring requisition movement and hiring-manager response times; identifying stalled candidates, aging requisitions, missing dispositions, and other exceptions; and preparing recruiting reports covering activity, pipeline health, sourcing, candidate movement, time to fill, and candidate-experience measures
- Coordinating offer documentation, preemployment requirements, and the offer-to-onboarding handoff, including communication with the new hire, HR, the hiring manager, IT, Security, and the nouBuddy program as applicable
- Coordinating with external recruiters or staffing partners during niche searches or periods of increased hiring volume and ensuring candidate records and communications follow nSI standards
- Supporting internal opportunity visibility, employee resume updates, recruiting and employment-brand content, job-family and career-guide activities, workforce reporting, and HR process or technology improvements when recruiting capacity permits
- Supporting defined HR initiatives assigned by HR leadership when recruiting capacity permits, such as onboarding administration, HRIS data maintenance, employee communications, training coordination, benefit communications, employee-record maintenance, and approved departmental projects
- Maintaining recruiting data and workflow under established HR standards and promptly escalating compliance questions, exceptions, or employment-decision concerns to the Senior HR Generalist or HR leadership for interpretation, review, and final approval
Basic Qualifications
- Bachelor's degree in Human Resources, Business Administration, Communications, or a related field, or an equivalent combination of education and relevant experience
- Two or more years of experience supporting recruiting, talent acquisition, human resources, or a closely related function
- Experience coordinating multiple requisitions, interviews, candidates, deadlines, and hiring-manager follow-up in a fast-paced environment
- Experience using an applicant tracking system or HRIS to maintain accurate candidate and recruiting records
- Strong written and verbal communication skills and the ability to provide a professional, responsive candidate experience
- Strong organization, attention to detail, data accuracy, problem-solving, and follow-through skills
- Ability to handle confidential information with professionalism and discretion, work independently within established processes, recognize exceptions, and escalate issues appropriately
- Proficiency with Microsoft Office applications, particularly Outlook, Word, Excel, PowerPoint, and Teams
Preferred Qualifications
- Experience administering recruiting activities in ADP Workforce Now
- Experience using LinkedIn Recruiter, ClearanceJobs, recruiting databases, candidate relationship management tools, or similar sourcing platforms
- Experience recruiting for technical, engineering, cybersecurity, cleared, or other specialized positions in a federal government contracting environment
- Experience building or maintaining talent pipelines, searchable candidate repositories, or high-volume resume databases
- Experience using AI-enabled sourcing, drafting, scheduling, analytics, or workflow tools within approved platform and data-governance requirements
- Experience with Form I-9, E-Verify, preemployment requirements, onboarding, and general HR administration
- aPHR, SHRM-CP, or other relevant human resources or recruiting certification
