Job Description
- Position Summary:
- The Strategic Partnerships Operations Assistant supports the daily operations of the Strategic Partnerships team in building higher education and workforce development opportunities for nonprofit, for-profit, and public-sector organizations.
- This work is supported by Antioch University and the Coalition for the Common Good.
- The Assistant will coordinate projects, build partnership data assets, document and assist in improving operational processes, and assist with the planning and execution of partnership events.
- This position offers the opportunity to gain hands-on experience in project management, CRM administration, organizational operations, event coordination, and relationship management.
- Essential Responsibilities:
- Project Coordination (approximately 4 hours)
- Assist with tracking ongoing partnership initiatives and project timelines.
- The Assistant will have a portfolio of projects to track.
- Support project documentation and follow up on action items.
- Support cross-functional projects involving internal departments and external partners.
- Prepare regular project updates.
- CRM Management & Reporting (approximately 2 hours)
- Compile and organize partnership data from multiple sources.
- Build and maintain reports and dashboards using spreadsheets, CRM reporting tools, and other data platforms.
- Assist in tracking partnership outcomes, key performance indicators, and engagement metrics for leadership reports.
- Events & Partnership Logistics (approximately 1 hour)
- Coordinate logistical details for partnership on-site events, industry conferences other engagement opportunities.
- Process Improvement & Operations (approximately 2 hours)
- Document departmental workflows, standard operating procedures, and recurring processes.
- Assist in identifying opportunities to improve operational efficiency and streamline administrative processes.
- Build and maintain outreach asset toolboxes.
- Administrative Support (approximately 1 hour)
- Assist with calendar coordination and scheduling.
- Project Coordination (approximately 4 hours)
Qualifications
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Comfortable learning new software platforms and technology.
- Proficiency with Microsoft Office or Google Workspace, particularly Excel or Google Sheets.
- Ability to work independently while collaborating effectively with a team.
- Professionalism and discretion when interacting with faculty, staff, students, and external partners.
- Curiosity and a willingness to improve systems and processes.
- Desired Skills (Not Required):
- Experience using CRM platforms (such as Salesforce, HubSpot, Airtable, or similar systems).
- Experience with spreadsheets, reporting, or basic data analysis.
- Familiarity with project management tools (Asana, Monday.com, Trello, Microsoft Planner, etc.).
- Experience coordinating events or volunteers.
- Interest in community engagement, partnership development, nonprofit organizations, or higher education administration.
- Experience using CRM platforms (such as Salesforce, HubSpot, Airtable, or similar systems).
