Job Title: Account Manager – New Community Transitions

Position Overview

The Account Manager – New Community Transitions serves as the primary liaison between the Transitions Department, newly onboarded associations, Community Managers, Boards of Directors, homeowners, and internal departments. This highly visible, relationship-focused position is responsible for ensuring a seamless and successful transition for newly acquired communities by coordinating onboarding activities, fostering strong client relationships, and ensuring all operational milestones are achieved.

The Account Manager serves as the face of the company throughout the transition process, providing exceptional customer service while supporting Boards of Directors and homeowners during the onboarding period. This position requires a proactive, organized, and solutions-oriented professional who thrives in a fast-paced environment and is committed to delivering outstanding client experience. The Account Manager is expected to be onsite at newly onboarded communities with a minimum of four (4) days per week and travel throughout the company's portfolio as needed.

Core Responsibilities

  • Serve as the primary point of contact for newly onboarded associations throughout the transition process.
  • Act as the liaison between the Transitions Department, Community Managers, Boards of Directors, homeowners, and internal departments.
  • Coordinate and attend Board meetings, transition meetings, homeowner meet-and-greet events, and community orientation sessions.
  • Partner with the assigned Community Manager to ensure a seamless transfer of responsibilities following the completion of the transition period.
  • Facilitate homeowner onboarding, including resident portal registration, ACH enrollment, account setup, and communication regarding company services and procedures.
  • Maintain consistent, proactive, and professional communication with Board Members, homeowners, developers, vendors, and internal stakeholders throughout the onboarding process.
  • Coordinate implementation of company systems, operational procedures, governing document transfers, vendor onboarding, and service standards.
  • Monitor transition progress to ensure all onboarding milestones, deadlines, and deliverables are completed accurately and on schedule.
  • Identify operational concerns, client issues, or potential risks and escalate them to the Director of Operations as appropriate.
  • Coordinate with Accounting, Client Services, Maintenance, Compliance, Information Technology, Lifestyle, and other departments to ensure a successful transition.
  • Maintain detailed transition documentation, reports, project timelines, and onboarding checklists.
  • Assist with preparing Board communications, welcome packages, homeowner correspondence, and transition-related presentations.
  • Support organizational initiatives designed to improve transition processes, operational efficiency, and client satisfaction.
  • Participate in transition planning meetings and collaborate with leadership to continuously improve onboarding procedures.
  • Build positive relationships with Boards of Directors, homeowners, developers, vendors, and business partners while promoting the company's commitment to exceptional service.
  • Represent the company professionally during community onboarding events, meetings, and transition activities.
  • Perform other duties as assigned.

Qualifications

  • Active Florida Licensed Community Association Manager (LCAM) license required.
  • Minimum of three (3) years of Community Association Management experience required.
  • Previous experience with community transitions, client onboarding, project management, or implementation preferred.
  • Strong knowledge of Florida condominium and homeowners' association operations.
  • Excellent interpersonal, communication, presentation, and relationship management skills.
  • Exceptional organizational, project management, and time management abilities.
  • Ability to manage multiple priorities while maintaining attention to detail and meeting deadlines.
  • Strong problem-solving skills with the ability to anticipate challenges and implement effective solutions.
  • Professional presence with confidence interacting with Boards of Directors, homeowners, developers, executive leadership, and business partners.
  • Proficient in Microsoft Office Suite and property management software; experience with CINC Systems is preferred.
  • Ability and willingness to travel extensively throughout the company's portfolio.
  • Valid Florida driver's license and reliable transportation required.

Work Requirements

  • Ability to travel frequently to newly onboard communities throughout the company's portfolio.
  • Required to be onsite at assigned transition communities a minimum of four (4) days per week.
  • Ability to attend Board meetings, homeowner meetings, transition events, and community functions, including evenings and occasional weekends as needed.
  • Ability to sit, stand, walk community grounds, and work on a computer for extended periods.
  • Ability to lift office materials and supplies up to 15 pounds occasionally.
  • Valid Florida driver's license and reliable transportation required.
