Job Description
The Administrative Clerk provides administrative support to multiple departments by maintaining organized records, managing filing systems, and assisting with a variety of clerical and administrative functions. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to prioritize and complete tasks with minimal supervision. The position requires effective communication skills and the ability to interact professionally with employees, supervisors, managers, and various departments across the organization. The successful candidate must be able to maintain accuracy while working in a dynamic environment with changing priorities.
Primary responsibilities include maintaining physical and electronic filing systems, organizing, scanning, retrieving, and tracking documents, and ensuring records are complete, accurate, and readily accessible. The Administrative Clerk will provide support to multiple departments by assisting with document preparation, data entry, record management, administrative tracking, and other clerical duties as assigned. This position may also be responsible for supporting special projects, coordinating administrative requests, and performing additional duties to meet operational requirements. In addition, the Administrative Clerk may be required to provide temporary administrative coverage for departmental administrative personnel during periods of leave, vacancies, or other operational needs to ensure continuity of business operations.
The ideal candidate will possess strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities while meeting deadlines. The position requires strong written and verbal communication skills, the ability to work effectively with employees at all levels of the organization, and the flexibility to support different departments as needed. The successful candidate must demonstrate the ability to maintain accurate records, handle sensitive information with confidentiality, and work efficiently in a fast-paced environment while maintaining a high level of accuracy and professionalism.
A high school diploma is required. Three years of experience in an administrative support, clerical, or records management role is required. Proficiency with Microsoft Office applications, including Word, Excel, and Outlook, along with strong organizational and problem-solving skills, is required. The ability to work independently, prioritize competing tasks, and adapt to changing priorities is essential for success in this position.
A valid
state driver’s license is required, and employment is contingent upon the
successful completion of a security investigation. The selected candidate must
also meet all eligibility requirements to work at the White Sands Missile Range
(WSMR) installation.
Desired
Qualifications:
Previous experience in administrative support, records management, or clerical
role is preferred. Experience providing support to multiple departments or
functional areas, along with managing confidential records and controlled
documentation, is highly desirable. Completion of related college coursework or
an associate's or bachelor's degree in business administration, office
administration, records management, or a closely related field is also highly
desirable.
