Job Title: Student Executive Assistant to the Dean
Number of Positions: 1–2
Department: Office of the Dean; College of Arts and Sciences
Job Location: Hathaway Hall 210B / Dean’s Office
Supervisor/Timekeeper: Dean Frederick A. Williams Jr.
Supervisor Contact: 502-600-4642
Hours Per Week: Up to 20 hours per week (flexible around class schedule)
Duties and Responsibilities:
• Administrative Support: Assist the Dean and executive staff with daily administrative operations, including managing correspondence, organizing electronic and physical files, and handling confidential documents.
• Reception & Hospitality: Greet visitors, faculty, students, and guests arriving at the Dean’s Office; maintain a welcoming, professional, and orderly front office environment.
• Event & Meeting Assistance: Help schedule, set up, and organize logistics for departmental meetings, advisory board sessions, student forums, and special university events.
• Communication: Answer incoming telephone calls, route queries to appropriate faculty or department chairs, and draft routine emails or informational memos under supervision.
• Special Projects: Assist with data entry, basic research, presentation formatting, and marketing/promotional materials for college initiatives as requested by the Dean.
Qualifications and Requirements:
• Eligibility: Must be eligible for the Federal Work-Study (FWS) program for the 2026–2027 academic year and maintain good academic standing.
• Professionalism: High degree of confidentiality, integrity, punctuality, and dependable attendance.
• Communication Skills: Strong verbal and written communication skills with a professional demeanor suitable for an executive university office.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace; willingness to learn university-specific software/portals.
• Organizational Ability: Detail-oriented with strong time management skills and the ability to multitask effectively.
