Essential Functions
As a Project Administrator at HDPS, you will play a pivotal role in supporting both our office and field teams. Your day-to-day responsibilities will include:
- Help develop and implement purchasing policies and procedures to increase efficiency; fostering relationships with new and existing suppliers and vendors; evaluating performance.
- Obtain competitive pricing from suppliers/vendors. Support Project Managers during the bidding process.
- Track and report price history of material purchases.
- Develop and monitor inventory control (stock material, small tools, consumables).
- Issue purchase orders.
- Coordinate shipping, delivery, and receipt of project materials for Project Managers. Work with Project Managers to ensure timely and efficient delivery of all materials to project sites.
- Assisting Project Managers with administrative duties.
- Managing project submittals and daily reports correspondence.
- Prepare Well Video Reports, Well Completion Reports, Deviation Reports.
- Assist with filing and scanning printed documentation.
- Assist in coordinating travel arrangements for field employees.
- Assist with processing and tracking of project documents (contracts, subcontracts, bonds, submittals, COIs, POs, etc.)
- Maintain accurate transaction records and reports, filing and copying documents as needed.
- Supporting the office manager in onboarding new employees.
Required Education, Experience, and Technical Knowledge
- Three to five years of project administration experience in the construction industry (preferred).
- Proficiency in MS Office applications.
- Must currently live in Hawaii.
