Essential Functions

As a Project Administrator at HDPS, you will play a pivotal role in supporting both our office and field teams. Your day-to-day responsibilities will include:

  • Help develop and implement purchasing policies and procedures to increase efficiency; fostering relationships with new and existing suppliers and vendors; evaluating performance.
  • Obtain competitive pricing from suppliers/vendors. Support Project Managers during the bidding process.
  • Track and report price history of material purchases.
  • Develop and monitor inventory control (stock material, small tools, consumables).
  • Issue purchase orders.
  • Coordinate shipping, delivery, and receipt of project materials for Project Managers. Work with Project Managers to ensure timely and efficient delivery of all materials to project sites.
  • Assisting Project Managers with administrative duties.
  • Managing project submittals and daily reports correspondence.
  • Prepare Well Video Reports, Well Completion Reports, Deviation Reports.
  • Assist with filing and scanning printed documentation.
  • Assist in coordinating travel arrangements for field employees.
  • Assist with processing and tracking of project documents (contracts, subcontracts, bonds, submittals, COIs, POs, etc.)
  • Maintain accurate transaction records and reports, filing and copying documents as needed.
  • Supporting the office manager in onboarding new employees.

Required Education, Experience, and Technical Knowledge

  • Three to five years of project administration experience in the construction industry (preferred).
  • Proficiency in MS Office applications.
  • Must currently live in Hawaii.
