Responsibilities
Essential Duties and Key Responsibilities include the following.
We are seeking a dynamic, highly organized, and versatile Executive & Project Assistant to support our company president and management team. This role is ideal for a “jack of all trades” who thrives in a fast-paced environment, is tech-savvy, and has a strong presence on social media. The ideal candidate will also bring experience in the mortgage industry and demonstrate exceptional customer service and communication skills.
Responsibilities
Essential Duties and Key Responsibilities include the following.
- Provide high-level administrative support to the President, including calendar management, travel coordination, and meeting preparation.
- Assist department managers with various projects, ensuring timely execution and follow-up.
- Manage and grow the President’s professional social media presence (LinkedIn, Instagram, etc.) in alignment with company branding and goals.
- Draft, edit, and distribute internal and external communications.
- Coordinate company events, meetings, and special initiatives.
- Maintain confidentiality and handle sensitive information with discretion.
- Support customer service efforts by responding to inquiries and assisting with client communications.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create reports, presentations, and documentation.
- Leverage mortgage industry knowledge to assist with related tasks and communications, if applicable.
- Other duties as assigned.
Qualifications
Qualifications:
- Proven experience as an executive assistant, project coordinator, or similar role.
- Strong understanding of social media platforms and content creation strategies.
- Proficiency in Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Professional demeanor with a customer-first mindset.
- Ability to work collaboratively with executives, managers, and staff with a high standard for confidentiality.
- Mortgage industry experience is highly preferred.
Preferred Skills:
- Work management tools (e.g., Microsoft Office, Smartsheet, Zendesk)
- Familiarity in the mortgage industry is a plus.
- Exceptional communication skills with a commitment to privacy and confidentiality.
