Position Summary
The Patient Coordinator is responsible for managing front desk operations and facilitating patient access in alignment with established practice standards. This role serves as the primary point of contact for patients and ensures accurate scheduling, registration, and communication to support efficient clinic flow and a positive patient experience.
Schedules patients in accordance with office protocols while obtaining and verifying key demographic and visit-related information, including patient name, address, referring provider, reason for visit, and authorization details. Maintains and updates patient records to ensure accuracy and completeness.
Answers incoming calls promptly and professionally, addressing patient needs, coordinating appointments, and providing clear, non-clinical information within practice guidelines. Conducts appointment reminder calls in advance of scheduled visits and manages returned mail by updating patient records as needed.
Prepares and distributes daily schedules to support operational readiness. Greets patients and visitors in a professional and welcoming manner, assesses their needs, and directs them appropriately. Provides routine, non-medical instructions to patients in preparation for their visit.
Supports the registration process by reviewing all patient forms for completeness and accuracy, assisting patients who require help completing documentation, and ensuring all required information is obtained prior to the visit. Prepares encounter forms and ensures appropriate documentation is available for the clinical team.
Utilizes the practice management system to verify patient status (new vs. established) and supports accurate patient identification and record management.
QUALIFICATIONS:
Candidates must have a minimum of 2 years office experience. Medical Office experience preferred. Previous Accounts Receivable and Collection experience required. Possess strong written and organizational skills with attention to detail. Must be able to multi-task and work well under pressure. Must possess problem solving skills as well as using good communication. Computer skills with experience in word processing, and excel required. Oversees daily flow of office and maintains facility compliance in regards to OSHA, HIPAA, and JCAHO.
