Job Description

Human Resources Onboarding Specialist, #61

At LifeWorks NW, our work is rooted in a simple belief: "life works" when people receive the support they need to restore well-being. We promote a healthy community by delivering quality, culturally responsive mental health and addiction services across the lifespan throughout Washington, Clackamas, and Multnomah Counties. As a trusted nonprofit serving the Portland metro area, LifeWorks NW also provides prevention, substance use treatment, and related social services across multiple sites in the tri-county region-partnering with clients, staff, and communities to reduce stigma and create pathways to stability and hope. Guided by our values of Recovery & Resilience, Relationships, and Results, we're building a workplace where teams can do their best work in service of an inclusive vision: a world where stigma fades and all people can live healthy and meaningful lives.

The Role: What You'll Do

As the Human Resources Onboarding Specialist, you are the hub that keeps hiring and day-one readiness moving-timely, compliant, and welcoming. You'll serve as the subject matter expert for onboarding administration and coordinate key parts of the pre-employment processes.

  • Own the onboarding experience from offer acceptance through Day 1-ensuring a supportive, well-organized transition for every new hire.
  • Coordinate recruitment logistics across multiple channels (job boards, social media, listservs, job fairs, and more).
  • Partner with hiring managers on recruiting steps such as postings, application review support, minimum qualification checks, and reference checks.
  • Prepare offer letters and track completion of pre-employment steps to keep hiring timelines on track.
  • Manage compliance-critical onboarding tasks, including I-9 collection and storage, E-Verify, background checks, credential verification, and audit-ready recordkeeping.
  • Maintain high-quality HRIS documentation by entering and tracking new hire and credential records with accuracy and confidentiality.
  • Communicate clearly and promptly with applicants, candidates, and managers-answering questions, sending welcome emails, and coordinating orientation details.
  • Track and report HR metrics (Excel and HRIS), supporting process improvements and a better candidate experience.
  • Bring an equity lens to your work by performing responsibilities with cultural responsiveness and awareness of inequities.

What You Bring

We're looking for someone who is equal parts process-driven and people-centered-someone who can manage details without losing sight of the human impact behind every hire.

Minimum qualifications (or equivalent combination of education/experience):

  • Bachelor's degree or at least 2 years of HR experience in recruitment and/or HR administration
  • Experience using an HRIS to support onboarding administration and personnel recordkeeping
  • Strong communication skills and ability to build cooperative relationships in a culturally diverse environment
  • Strong technical skills (Outlook, Word, Excel) and comfort learning new systems
  • Ability to manage multiple concurrent onboarding and recruitment processes with accuracy and urgency

Why This Role Matters at LifeWorks NW

Every clinician, care coordinator, receptionist, peer support specialist, and program leader who joins LifeWorks NW strengthens our ability to serve clients and communities. This role is mission-critical because you help build the workforce that delivers life-changing behavioral health and prevention services every day. If you're energized by creating smooth systems, ensuring compliance, and welcoming new team members into purpose-driven work-this is an opportunity to make a meaningful difference behind the scenes.

Compensation: The range for this position is between $30.54-$39.52 based on number of years of experience, plus Full benefits.
