Job Summary:
The Administrative Assistant/Receptionist serves as the first point of contact for residents and guests, delivering exceptional customer service while supporting the day-to-day operations of the Club. This role is responsible for managing front desk activities, assisting with registrations and inquiries, providing high-level administrative support across multiple functional areas of the association, and maintaining a welcoming, professional environment.
Duties and Responsibilities:
- Greet residents and guests in a friendly and professional manner
- Check residents and guests into the system and process applicable fees
- Assist with program registrations, reservations, and payment transactions
- Provide information and guidance to new residents regarding paperwork and facility access
- Maintain a clean, organized, and presentable front desk and common areas
- Answer phone calls, direct inquiries, and relay messages to appropriate staff
- Process sales and ensure merchandise and supplies are adequately stocked
- Sort and distribute incoming mail and deliveries
- Complete opening and closing checklists to ensure operational readiness
Knowledge, Skills, and Abilities:
- Strong customer service and interpersonal skills
- Proficiency with office equipment and basic computer applications (Excel, Word, Outlook)
- Ability to handle sensitive information with confidentiality
- Strong organizational skills and attention to detail
Education and Experience:
- High school diploma or equivalent required
- Associate degree highly preferred
Physical Requirements:
- Ability to spend prolonged periods sitting at a desk and working on a computer
- Prolonged periods of standing, walking, and talking
Work Schedule:
This full-time position works weekday and weekend hours and may include holidays. The schedule is subject to change based on the needs of the organization.
