Job Summary:
The dispatcher is responsible for planning, executing, and owning daily fuel dispatch operations to ensure safe, efficient, and reliable delivery to customers. This role requires strong decision-making, proactive communication, and the ability to manage competing priorities in a dynamic, time-sensitive environment.
In addition to scheduling drivers and equipment, the dispatcher plays a critical role in inventory management, volume forecasting, and operational problem-solving. This position requires a high level of attention to detail, accountability, and situational awareness, as dispatch decisions directly impact customer service, safety, and profitability.
This position includes on-call responsibilities and shift work as required by operational needs.

What you will do day-to-day:
Dispatch & Operations
- Plan, build, and execute daily fuel delivery schedules for bulk, home heat, cardlock, and wholesale customers.
- Assign drivers and equipment efficiently based on service requirements, safety considerations, and operational priorities.
- Build and manage trips, ensuring all required information is accurate and complete prior to dispatch.
- Monitor trips in progress and make real-time adjustments to address delays, disruptions, or changing conditions.
- Close trips accurately and in a timely manner following delivery.
- Review driver paperwork for accuracy and completeness, and follow up on discrepancies.
- Build, maintain, and refine load patterns and equipment utilization for branch units.
- Provide clear direction and ongoing support to drivers throughout the day.
Inventory Management & Forecasting
- Monitor fuel inventory levels at customer, storage, and cardlock locations.
- Manage fuel inventory and ensure minimum and maximum inventory thresholds are maintained.
- Complete monthly fuel inventory reporting.
- Identify, investigate, and report inventory variances promptly.
- Responsible for fuel forecasting in coordination with an Area Manager and the Logistics Supervisor.
Driver & Equipment Coordination
- Schedule drivers to ensure adequate coverage and efficient use of resources.
- Coordinate unit availability and downtime for maintenance and repairs.
- Collect and review DVIRs and communicate issues to maintenance teams.
- Schedule repairs with internal shop staff and external vendors as required.
- Collaborate with AFD Tank Division for field tank and monitor repairs.
- Ensure drivers are operating in accordance with company procedures and safety expectations.
Communication, Billing & Problem Solving
- Proactively communicate service risks, delays, and operational changes before they become service failures.
- Work closely with the Billing team to ensure accurate and timely information is provided for invoicing and reconciliation.
- Respond professionally to customer concerns and support service recovery when required.
- Mediate driver concerns and resolve operational issues using a calm, solution-focused approach.
- Apply analytical thinking to identify root causes of issues and implement corrective actions to prevent recurrence.
What you need to succeed:
Education
- High School Diploma or GED.
Experience
- Minimum 3 years of dispatch experience in a transportation, logistics, or related environment.
- Proven ability to prioritize competing demands and make independent decisions.
- Strong organizational and time-management skills.
- Proficiency with Microsoft Excel and standard office software.
- Previous experience in liquid or fuel dispatch (willing to train the right candidate).
- Strong geographical knowledge of Alberta and Northern British Columbia.
