Senior Administrative Assistant - Generation Park
FUNCTION: Provide administrative support to division leaders, department chairs, faculty, and staff.
Essential Job Functions:
- Provide administrative support to dean, department chair, and faculty members with paperwork, forms, and reports. These may include budgets, purchasing, entering class schedule, faculty load reports, textbook adoptions, ordering supplies, personnel reports, absence and leave forms, grades and class rolls.
- Perform general office duties such as: developing letters, emails, substitute forms, and reports to include state reporting, as required.
- Occupy front desk and professionally interface daily with students, administrators, various departments, visitors, staff, and faculty.
- Enter Student Data for new, transition and current students, i.e., maintain various computer-based records/files, create classes and assist with course substitution forms.
- Schedule and coordinate multiple meetings and room reservations to include meetings for college leaders, faculty, advisory boards, and information sessions. Record and transcribe meeting minutes.
- Work with Department Chairs and Division Operations Coordinators by initiating class cancellations, development of class schedules and catalog revisions (i.e. updates to program promotional brochures, materials, or website).
- Prepare and process requisitions and invoices as needed and Banner entry via several banner programs.
- Process P-card statements and maintain P-card records and expenditures.
- Coordinate travel arrangements, hotel, and parking reimbursements.
- Coordinate facilities for classroom use, including maintenance requests.
Additional Job Functions:
- Order inventory supplies and submit expenses.
- Complete required trainings.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- Must project a professional image, have excellent telephone etiquette and communication skills, and be proficient in Microsoft Word, Excel, Banner, and Windows.
- Must be extremely accurate and have excellent proofreading, grammar and spelling skills.
- Must be able to work in a team environment, be flexible with good public relations skills, work well with details and deadlines, balance multiple tasks, analyze and solve problems and work independently in a fast-paced office environment.
Required Education:
- High School Diploma or equivalent required.
Preferred Education:
- Above requirement plus one (1) year of specialized or technical training beyond high school.
Required Experience:
- Three (3) years of office clerical or administrative support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job.
Preferred Experience:
- Above requirement including one (1) or more years in a higher education environment.
NOTE: The duties of this position require a physical presence at the assigned on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.
