Position Summary:
The Rehabilitation Services Scheduler will be responsible for the coordination of administrative and office operations for the Cardiac & Pulmonary Rehabilitation and Physical Therapy Departments including registration of patients, insurance verification, and pre-authorization acquisition.
Position Requirements:
Formal Education / Training:
1. High school diploma or equivalent.
2. Demonstrated accuracy in written and oral communication in English.
3
. BLS is required within 90 days of hire.

Workplace Experience:
At least one year secretarial/clerical healthcare experience. Registration or insurance experience preferred.

Equipment and Skills Training:
The ability to work well under pressure, to function in a team environment and address tasks independently. Ability to use the network computer system; copy machine; fax; telephone system and printers.

Physical Environment:
Reception area within the Cardiac & Pulmonary Rehabilitation Clinic.

Physical Effort:
1. Prolonged sitting, standing, bending, walking.
2. Occasionally removes or replaces supplies or equipment weighing up to 25 lbs. from locations at or above shoulder level.
Key Results:
1. Greets and screens walk-ins and telephone calls from visitors, job seekers, vendors, and the general public on behalf of Director and department.
Consistently reviews multiple sources to obtain new patient referrals, clinical information, and insurance information. Obtains orders as needed.
Contacts physician offices when missing, incomplete, or incorrect documentation is present. Relays clinical information to insurance companies and rehabilitation staff accurately.
Consistently and accurately completes medical necessity and insurance verification processes for rehabilitation services and outpatient populations (Cardiac & Pulmonary Rehab, Lymphedema, Wound Care). Addresses inconsistencies and errors in each of these processes.
Consistently and accurately completes preauthorization and authorization processes for rehabilitation services outpatient populations (Cardiac & Pulmonary Rehab, Lymphedema, Wound Care). Addresses inconsistencies and errors in each of these processes.
Consistently and accurately completes scheduling for rehabilitation services outpatient populations (Cardiac & Pulmonary Rehab, Lymphedema, Wound Care).
Consistently and accurately reviews, obtains, and scans patient information (demographics, insurance information, monthly privacy and rights and responsibilities forms) and signatures on all pertinent patient documentation.
Maintains work areas (including patient waiting room and front office) and personal appearance in a way that reflects professionalism, orderliness, cleanliness, and safety.
Supports department activities by acting as liaison between department and physician offices, nursing floors, and other organizational stakeholders.
Participates in activities that improve department effectiveness, communication, processes, and image in the organization.
Accurately orders supplies and materials as directed. Enters IT, BioMed, and Maintenance requests.
Manages time effectively.
