The Dispatcher plays a crucial role in coordinating and scheduling service calls for the HVAC Service Department. This position requires strong organizational skills, effective communication abilities, and the ability to prioritize tasks in a fast-paced environment.

Key Responsibilities:

1. Receive and prioritize service requests from customers via phone, email, or other communication channels.
2. Schedule service appointments and dispatch HVAC technicians to customer locations in a timely and efficient manner.
3. Communicate with technicians to provide relevant job details, including customer information, service requirements, and special instructions.
4. Monitor technician schedules and adjust assignments as needed to accommodate urgent service requests or changes in priorities.
5. Maintain accurate records of service calls, including job status, technician availability, and customer communications.
6. Coordinate with other departments, such as sales and parts, to ensure seamless workflow and efficient resolution of customer issues.
7. Provide exceptional customer service by addressing inquiries, resolving concerns, and maintaining positive relationships with clients.
8. Assist in identifying opportunities for process improvements and implementing best practices to enhance department efficiency.

Qualifications:

1. High school diploma or equivalent.
2. Previous experience in dispatching, customer service, or related field preferred.
3. Familiarity with HVAC systems and terminology is an asset.
4. Proficient computer skills, including experience with scheduling software and Microsoft Office applications.
5. Excellent communication skills, both verbal and written.
6. Strong organizational and multitasking abilities, with the capacity to handle multiple priorities simultaneously.
7. Ability to remain calm and composed under pressure while maintaining a professional demeanor.
