Overview
The HR Generalist/Payroll Administrator supports the day-to-day human resources operations for a multi-state, multi-site property management and hospitality organization, with the primary responsibility for accurate, timely, and compliant payroll processing in ADP Workforce Now. Reporting directly to the Director of Human Resources, this role serves as a key function within the HR department and partners closely with operations, property managers, and leadership to ensure consistent HR practices across all locations. In addition to overseeing payroll administration and compliance with applicable regulations, the HR Generalist supports employee relations, benefits administration, HR systems, and general HR operations.
Primary Responsibilities/Duties
- Process accurate and timely weekly payroll for hourly and salaried employees across multiple properties using ADP Workforce Now, including regular, off-cycle, bonus, commission, and retroactive payrolls.
- Review and validate timecard data, ensure accurate wage calculations (including overtime and premiums), and resolve discrepancies prior to payroll submission.
- Audit timekeeping and paid time off entries to ensure compliance with company policy and federal, state, and local wage and hour laws, including meal and rest period requirements.
- Administer payroll changes such as new hires, terminations, pay rate adjustments, job changes, transfers, exemptions, and deduction updates.
- Proof payroll registers and reports to ensure data completeness and accuracy before transmitting payroll to ADP.
- Serve as the primary point of contact for payroll-related inquiries from employees and managers, providing guidance on payroll administration, timekeeping, wage and hour regulations, and attendance policies.
- Manage payroll garnishments, deductions, audits, and ADP invoices, ensuring proper internal allocation of payroll expenses.
- Maintain accurate payroll records and confidential files, including weekly filing, scanning, and documentation related to personnel changes, compensation, and benefits.
- Download, organize, and maintain payroll reports in shared systems for leadership review, audit, and compliance purposes.
- Process employment and unemployment verifications and prepare payroll reports for leadership, auditors, and external agencies as requested.
- Partner closely with the Director of Human Resources to manage payroll compliance across multiple jurisdictions and support internal and external audits, including payroll tax audits and annual reviews.
Secondary Responsibilities/Duties
- Coordinate full-cycle onboarding and offboarding for multi-site properties, including system entry, I-9 verification, new-hire paperwork, and benefits enrollment for onsite and corporate employees.
- Maintain accurate, confidential personnel files and HRIS records for property-level and corporate staff; conduct regular audits to ensure compliance, data integrity, and consistency across locations.
- Administer health, welfare, retirement, and leave programs (FMLA, state leaves, PTO) through ADP Workforce Now and external vendors, ensuring accurate payroll integration for hourly, salaried, and variable-schedule employees.
- Partner with the Director of Human Resources to ensure accuracy of benefits administration, 401(k), wage garnishments, deductions, and ACA compliance for a multi-entity, multi-location workforce.
- Serve as a primary HR resource for property managers and employees, responding to questions regarding policies, benefits, onboarding, timekeeping, and leave administration; escalate complex employee relations matters as appropriate.
- Support employee relations activities at the property level, including performance management, corrective action documentation, and coordination with leadership on disciplinary matters.
- Support workers’ compensation claims and return-to-work programs for both corporate and property/hospitality onsite staff.
- Assist with employee handbook updates, policy rollouts, and required workplace postings across all properties.
- Coordinate planning for HR training, leadership meetings, and compliance initiatives across multiple sites.
- Provide administrative and clerical support to the Director of Human Resources, including scheduling, documentation management, and departmental coordination.
- Participate in HR projects, and other duties as assigned in support of organizational goals.
Experience, Skills, and Knowledge
Required:
- 2+ years of HR Generalist experience in a multi-state, multi-site environment.
- Direct full-cycle payroll processing experience using ADP Workforce Now.
- Strong understanding of wage and hour laws and payroll compliance.
- Experience supporting exempt as well as non-exempt workforces.
- Ability to meet strict payroll deadlines.
- Working knowledge of tax regulations and wage and hour laws.
- Strong attention to detail and discretion.
- Proficiency with HRIS systems, Microsoft Office, and reporting tools.

Preferred:
- Property management and/or hospitality workforce experience.
- Experience processing payroll for 125+ employees.
- Knowledge of state-specific payroll and leave requirements.
- SHRM-CP, PHR, or similar certification
Education/Training/Licensing
- Bachelor’s Degree or equivalent experience.
