Description: The Accounts Payable Specialist at The Women's Home will be responsible for managing the organization's accounts payable process, ensuring accurate and timely payment to vendors, and maintaining strong vendor relationships. This role requires meticulous attention to detail, strong organizational skills, and the ability to work effectively within the finance team.
Essential Responsibilities:
Invoice and Payment Management:
- Receipt and meticulous examination of invoices, purchase orders, and expense reports to ensure their accuracy and completeness.
- Matching invoices with the requisite supporting documentation and securing necessary approvals.
- Accurate and timely entry and coding of invoices into the accounting system.
Vendor Relations and Oversight:
- Maintaining comprehensive vendor records, including their contact information, payment terms, and tax details.
- Corresponding with vendors to address inquiries related to invoices, discrepancies, and payment status.
- Reconciliation of vendor statements and resolution of any outstanding issues.
Efficient Payment Processing:
- Compiling and processing payment batches, encompassing checks, electronic fund transfers, and wire transfers.
- Thoroughly verifying payment details to ensure precision and compliance with internal controls.
- Collaborating with the finance team to ensure the availability of adequate funds for payment processing.
Expense Control and Reimbursement:
- Scrutinizing employee expense reports for adherence to organizational policies.
- Validating expense receipts and ensuring accurate expense coding.
- Timely preparation and processing of reimbursement payments.
Record Maintenance and Reporting:
- Upholding precise and current accounts payable records.
- Participation in month-end and year-end closing activities, including reconciliations and financial reporting.
- Generation of required accounts payable reports and analytical insights.
Compliance and Internal Control Adherence:
- Adhering to established financial policies, procedures, and internal controls.
- Aiding in the implementation and enhancement of accounts payable processes.
- Identifying opportunities for process improvement and actively contributing to their implementation.
- Perform other duties as assigned to support the overall operations and success of the department, program, and organization.
Qualifications:
- Bachelor's degree in Accounting, Finance, or related field is preferred.
- 3 years of proven work experience as an Accounts Payable Specialist or in a similar role.
- Strong knowledge of accounts payable principles and practices.
- Familiarity with accounting software and proficiency in Microsoft Excel.
- Excellent attention to detail and accuracy.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Effective communication and interpersonal skills.
- Ability to maintain confidentiality and exercise discretion.
- Knowledge of nonprofit accounting practices is a plus.
