Job Description

  • Position Summary
    • The supervisor will oversee the daily activities of physician practice clerical staff, including HIM, front desk, registration, clerical travelers, referral personnel, phone room, and scheduling staff. Assist practice manager with management and development of staff. Provide oversite of patient access and satisfaction objectives, staff training, work flow integrity, budgetary benchmarks, and a plethora of other day to day front operations within the practice.

    • Associates in Healthcare Management or related field - Preferred
  • Experience
    • 8+ Years Medical Office or Patient Registration experience - Required
    • 1 Year Supervisory experience - Required
    • In-depth knowledge of third-party insurances and revenue cycle, registration processes, HIPAA provisions, and customer service required.

  • Core Job Functions
    • Assist in coverage of patient phone calls, referrals, hospital scheduling, eligibility checks, precertification, records projects, etc as demand warrants. Provide guidance and support for clerical team. Serve as expert clerical resource, providing administrative support to practice operations. Register patients, support check in and check out operations, schedule appointments, post payments. Manage and reconcile daily deposits for practice. Field complex patient questions and concerns, assure reminders and eligibility checks are completed before appointments. Provide assistance/troubleshooting readily to providers, staff, patients and vendors as needed. Maintain current, working knowledge of payer participation, registration needs, coverage, Medicare guidelines, and stay abreast of other payor requirements. Inventory and supply management for clerical areas.
    • Maintain and share comprehensive understanding of all scheduling procedures as well as medical terminology sufficient to support the practice workflows. Manage and assist with template changes, schedule overrides, and clinic schedule moves. Oversee and coordinate mass cancellations and clinic shifts, partner with front line staff to actively work waitlists to fill last minute cancellation open timeslots and maximize clinic volumes. Block and open schedules as warranted per manager, call schedule, etc. Disseminate scheduling related communications within practice. Maintain most-current information on provider out-of-office PTO, CME dates, etc.
    • Manage daily staffing in assigned clerical areas. Including, remote clinic and traveler staff schedules. Plan and readily communicate staffing plans and changes. Collaborate with the manager during hire/interviewing process, evaluating performance, and administering employee corrective action. Participate in staff evaluations. Orient new co-workers to practice, schedule and assist with training, monitor staff competencies, and ensure for appropriate follow-ups in place for co-worker education. Run staff huddles as needed. Supervisor will coach, train, counsel staff in an effort to develop, enrich and retain quality staff. Lead and mentor coworkers by providing motivation, guidance and training to produce an outstanding professional team with a "patient first" focused attitude. Foster a positive culture that is enjoyable, productive, accountable, and supportive. Monitor co-worker attendance, productivity, vacation requests, and track department goals. In the absence of the Practice Manager, the serve as point of contact for vendors, providers, and administration. Will perform other duties as assigned by Manager and senior administration. Onsite supervisory check-ins at remote practices when warranted. Random cash handling audits.
    • Actively lead patience satisfaction initiatives, serving as leader in customer service and service recovery efforts, on a daily basis. Train and implement customer service best practices. Lead by example with customer service, phone etiquette, proper workflows, cash controls, and use of resources. Work with manager, and teams to set and achieve department goals. Serve as an active and engaged leader on initiatives related to collections, patient access, scheduling, payment posting, general performance improvement, quality, new applications, data accuracy, turnaround times, etc. Partner readily on optimizing registration process with revenue cycle leaders to deliver a seamless billing experience. Oversee patient registration accuracy, scheduling and registration quality control, training, process improvement plans, compliance activities. Assist in computer application upgrades and changes in process. Assure practice reception area and lobby is well kempt and orderly.
    • Serve as a primary timekeeper for clerical staff. Support manager as secondary provider timekeeper for all practice staff, and with PTO entry and missed punches.
