The Facility Operations Specialist provides administrative, clerical, and operational support to Facilities Managers and the Director of Facilities. This role is critical in ensuring smooth day-to-day operations across multiple facilities by managing documentation, coordinating communications, maintaining records, and assisting with light financial tracking and inventory management.

Essential Functions

  • Manage calendars, schedule meetings, and coordinate appointments
  • Prepare, format, and distribute reports, memos, and correspondence
  • Maintain organized filing systems (digital and physical)
  • Attend meetings and take detailed, accurate notes
  • Maintain records of facility operations, maintenance logs, and compliance documentation
  • Track inventory levels for maintenance supplies, equipment, and office materials
  • Assist with tracking departmental expenses and budgets
  • Process invoices, purchase orders, and receipts
  • Perform high-volume copying, scanning, and document distribution
  • Serve as a liaison between facilities team, vendors, and internal departments
  • Coordinate service requests and work orders
  • Help ensure compliance with safety and regulatory standards
Requirements:

Qualifications and Experience

At least 60 college level credit hours and previous experience and/or training involving client service, general office work, cashiering, data entry, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess and maintain a valid Florida driver’s license.

2+ years of administrative or clerical experience, preferably in facilities or operations, Basic knowledge of bookkeeping and financial tracking, Strong organizational and multitasking skills, Excellent written and verbal communication skills, Proficiency in Microsoft Office Suite (Excel, Word, Outlook), Ability to maintain confidentiality and handle sensitive information.

Working Conditions:

  • Primarily office-based with occasional visits to facility sites
  • May require light lifting of office supplies or materials (up to 25 lbs)
  • Standard business hours with occasional flexibility based on operational needs
