Associate Registrar

Department: Office of the Registrar

Reports To: Assistant Vice President of Enrollment Services and Registrar

Level: 8

SUMMARY

The Associate Registrar serves as an advisor to the Assistant Vice President and Registrar and provides operational leadership for the daily activities of the Enrollment Center. This position coordinates academic records, registration services, and office operations while supporting university policies and procedures. The Associate Registrar resolves complex student record issues and collaborates with campus partners to ensure accurate, efficient, and student-centered services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Assists the AVP of Enrollment Services and Registrar in the administration and daily operation of the Enrollment Center, providing operational leadership and serving on behalf of the Registrar as delegated.
  2. Provides operational leadership for the Enrollment Center by coordinating daily workflow, front-line services, staffing, scheduling, and customer service to ensure efficient delivery of Enrollment Services.
  3. Coordinates academic records administration and registration services to ensure the accuracy, integrity, and timely maintenance of student academic records and enrollment activity.
  4. Coordinates specialized registration and academic record processes, including consortium registrations, dual enrollment, course overloads, graduate professional development, applied music, academic standing actions, grade processing, and related record transactions.
  5. Researches and resolves complex registration, enrollment, grading, and student record issues while collaborating with faculty, academic departments, and campus partners to ensure appropriate resolution.
  6. Coordinates front-line student account support and cashiering functions, including account review, journal entries, miscellaneous group entries, receipt of payments, and related Enrollment Center financial transactions in collaboration with Student Financial Services.
  7. Prepares, reviews, and distributes operational reports; monitors data integrity; identifies discrepancies; and coordinates corrective actions as appropriate.
  8. Develops, maintains, and coordinates departmental procedures, technical documentation, and training resources to support consistent operations and cross-functional knowledge throughout Enrollment Services.
  9. Supervises Enrollment Center staff, temporary employees, and student employees by assigning work, monitoring daily operations, providing training and coaching, and supporting high-quality customer service.
  10. Collaborates with academic and administrative departments to coordinate student enrollment, attendance, registration, academic records, and related operational processes.
  11. Represents the Office of the Registrar on University committees, consortium activities, and institutional initiatives as assigned.
  12. Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities may include interviewing, hiring and training; planning, assigning and directing work of student workers; addressing complaints and resolving problems.

EDUCATION AND EXPERIENCE

Bachelor’s degree from a four-year college or university; and two to three years related experience and/or training or equivalent combination of education and experience. Working knowledge of Microsoft Office.

MANAGERIAL SKILLS

Essential managerial skills include directing (organizing, energizing, and supervising), negotiating, planning and problem solving, facilitating the work of others, clarifying goals and objectives, obtaining and giving feedback, delegating, team building, effectively communicating, evaluating, and initiating change. Ability to define problems, collect data, establish facts, and draw valid conclusions in an extensive variety of situations.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to effectively present information and respond to questions from groups of managers, customers, and the general public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, use whole numbers, fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

PHYSICAL DEMANDS

The employee is occasionally required to climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds.
