Job Description

Medical Records Specialist — The Detail-Driven Backbone of Lincoln's Top-Rated Independent Practice

Full-Time | Lincoln, NE | Primary Care Partners

Every accurate chart, every record that reaches the right provider at the right moment, every request handled on time — that's care happening behind the scenes. As our Medical Records Specialist, you're the trusted hand that keeps patient information flowing accurately and securely through the practice. If you take real pride in getting the details right and knowing your work quietly keeps everyone else running smoothly, this is your kind of role.

Why Primary Care Partners?

We're an independent, physician-led practice — which means our decisions are driven by what's best for patients and staff, not a corporate directive from out of state. That independence is part of why we were named a Top 5 Finalist in the 2025 Lincoln's Choice Awards and why our clinics are known for honesty, integrity, and treating people with genuine respect.

We've grown into a well-respected, three-location practice because patients trust us — and that growth means real opportunity for the people who help us run well. Great work gets noticed here.

Our mission is simple: to create healthier lives for our patients — swiftly, safely, humanely, and with compassion. This role helps make that possible every single day.

What You'll Do

You'll be the organizational anchor for the flow of patient information:

  • Review outboxes throughout the office — sorting and routing ABNs, orders, UAs, and provider paperwork to the right destinations
  • Sort and distribute faxes, and route provider faxes where they need to go
  • Respond to Taskman requests from providers and retrieve needed records promptly
  • Distribute prescriptions, nursing home paperwork, and other documents requiring provider signatures
  • Print and prepare record requests for upcoming patient appointments
  • Process transfer-of-records and release-of-information requests accurately and within required timeframes (typically 30 days)
  • Verify that release forms are completed correctly and confirm receipt
  • Handle subpoenas end to end — logging dates, contacting patients for signed releases, assembling records for the correct timeframe, tracking time, invoicing, and delivering to the requesting firm
  • Scan documents, ER visits, EKGs, and direct-email records into patient charts promptly so visits get proper credit
  • Answer and respond to phone calls, and redirect faxes sent to the wrong provider

What Makes You a Great Fit

We're looking for someone who is:

  • Meticulous — accuracy isn't a nice-to-have, it's the whole job, and you know it
  • Organized under a full workload — you can juggle faxes, requests, phones, and deadlines without dropping a thing
  • A strong communicator — clear and courteous with patients, providers, and outside partners alike
  • Discreet and trustworthy — you treat patient confidentiality and HIPAA compliance as second nature
  • People-smart — high emotional IQ and a steady, helpful presence, even on a busy day

Qualifications

  • 1–3 years of experience in a medical office setting
  • Strong mathematical skills
  • Excellent written and verbal communication
  • Proficiency in Windows applications (Word, Excel, PowerPoint, Access)
  • Strong people skills and high emotional intelligence

What You'll Get

We invest in the people who keep our practice running:

  • 401(k)
  • Health, Dental & Vision insurance
  • Life & Disability insurance
  • Paid Time Off
  • A supportive, close-knit team and the stability of a growing, locally-owned practice

Ready to do work that keeps everything running right?

If you want a role where your precision and reliability genuinely matter — and where you're valued as part of the team — we'd love to meet you. Apply today and help us keep doing right by the people of Lincoln.
