Job Description
We are seeking a highly organized and detail-oriented Administrative Executive Assistant to provide comprehensive administrative support to executives and office operations. The ideal candidate is proactive, professional, and capable of managing multiple priorities while maintaining confidentiality. This position requires excellent communication, organizational, and time-management skills.
Key Responsibilities- Manage executive calendars, appointments, meetings, and travel arrangements.
- Answer phone calls, emails, and correspondence in a professional manner.
- Prepare reports, presentations, spreadsheets, and other business documents.
- Organize and maintain physical and electronic filing systems.
- Schedule meetings, prepare agendas, and record meeting minutes.
- Coordinate office activities, supplies, and vendor relationships.
- Assist with payroll, invoicing, expense reports, and basic bookkeeping tasks.
- Maintain confidential employee and company records.
- Greet visitors and ensure a welcoming office environment.
- Monitor office inventory and order supplies as needed.
- Support HR functions, including onboarding, scheduling interviews, and maintaining personnel files.
- Coordinate company events, meetings, and training sessions.
- Perform data entry with a high level of accuracy.
- Handle special projects and other administrative duties as assigned.
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Previous experience as an Administrative Assistant, Executive Assistant, or similar administrative role preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and professionalism.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience with scheduling software and office management systems.
- Knowledge of basic accounting and bookkeeping principles.
- Familiarity with payroll processing and expense management.
- Customer service experience.
- Strong interpersonal and time-management skills.
