About the Role
We are looking to add a Client Relations Specialist to serve as a key point of contact for clients and help streamline communication between clients and our various departments. This role will primarily support our Asbestos practice, with the potential to assist our Personal Injury practice as well.
The ideal candidate will have strong client service and communication skills and be comfortable handling a high volume of client calls, answering questions, researching issues, and coordinating with multiple internal teams. This person will serve as a liaison between clients and attorneys and between clients and departments including Releases, Liens, Estates, and Settlement Distributions, helping resolve routine questions while ensuring more complex matters are directed to the appropriate team member.
This is an administrative, highly client-facing role that will help improve the client experience while allowing paralegals and attorneys to focus on substantive case work. The position is based full-time in our Manhattan office.
You Will:
- Serve as a primary point of contact for clients calling with questions or requests related to their cases.
- Answer high-level client questions regarding areas such as settlement releases, liens, estates, distributions, and other related processes.
- Research client questions and work with the appropriate internal department to obtain accurate information.
- Follow up with clients when additional information is needed or when a question requires input from another department.
- Coordinate with Releases, Liens, Estates, Settlement Distributions, and other internal teams to ensure client inquiries are addressed efficiently.
- Help filter and redirect incoming client calls to the appropriate team member when a matter requires more substantive or specialized assistance.
- Provide clients with clear, professional, and empathetic communication regarding the status of their matters.
- Maintain accurate records of client inquiries, follow-ups, and outstanding requests.
- Manage multiple client inquiries and priorities while maintaining a high level of organization and attention to detail.
- Build strong working relationships with colleagues across multiple departments to facilitate efficient communication and information sharing.
- Identify opportunities to resolve routine client questions independently rather than unnecessarily escalating matters to paralegals or attorneys.
- Handle sensitive and confidential client information with professionalism and discretion.
- Perform additional administrative and client relations tasks as required.
You Have:
- Experience in client relations, customer service, case management, or a similar client-facing administrative role.
- Excellent verbal and written communication skills.
- Strong ability to communicate professionally and effectively with clients, attorneys, paralegals, and other internal teams.
- Strong organizational skills and the ability to manage multiple clients, inquiries, and follow-ups simultaneously.
- Ability to think critically, research information, and find solutions to client questions.
- Ability to work independently while knowing when to escalate a matter to the appropriate department or team member.
- Strong interpersonal skills and the ability to work collaboratively with multiple departments.
- Professional, patient, and empathetic approach when working with clients, including clients who may be frustrated or difficult.
- Strong attention to detail and ability to accurately communicate information.
- Comfortable working in a fast-paced, high-volume environment.
- Experience working in a law firm or other professional services environment.
- Familiarity with Personal Injury or Asbestos litigation.
- Experience working with legal case management systems, including SmartAdvocate
Nice to Have:
- Experience working with settlement, release, lien, estate, or client distribution processes.
- Prior case management experience
- Bilingual in Spanish and English.
$70,000 - $85,000 a year
