Contract Administrator
Job SummaryThe Contract Administrator is responsible for overseeing the administrative, payroll, financial, and human resources functions associated with assigned airport service contracts. This position ensures the accurate processing of payroll, contract compliance, client billing, financial reporting, and employee administration while supporting daily operational activities.
The Contract Administrator serves as a key liaison between Operations, Human Resources, Payroll, Accounting, and clients to ensure contractual obligations are met, company policies are followed, and all administrative processes are completed accurately and on time.
Essential Duties and ResponsibilitiesPayroll & Timekeeping- Process payroll accurately and timely for assigned contracts.
- Review, audit, and approve employee timecards prior to payroll submission.
- Verify employee pay rates, shift differentials, overtime, holiday pay, and premium pay.
- Review and reconcile payroll discrepancies and coordinate corrections when necessary.
- Monitor and maintain employee PTO, vacation, sick leave, holiday balances, and other leave programs.
- Ensure payroll compliance with federal, state, local, and company regulations.
- Review client contracts to ensure compliance with contractual billing requirements.
- Monitor labor hours and payroll costs in accordance with contract terms.
- Maintain contract documentation and administrative records.
- Assist management with contract renewals, amendments, and reporting requirements.
- Ensure compliance with contractual obligations, company policies, and regulatory requirements.
- Prepare accurate client invoices and supporting documentation.
- Compile payroll reports, labor reports, and billing summaries.
- Reconcile payroll data with client billing.
- Process vendor invoices and prepare payment requests.
- Assist with monthly financial reporting and budget tracking.
- Maintain organized financial records and supporting documentation.
- Assist with audits and provide requested documentation.
- Coordinate new hire onboarding through ADP, Paycor, or other HRIS platforms.
- Ensure completion of employment documentation and compliance requirements.
- Maintain employee personnel files and HR records.
- Support recruitment efforts, including interview scheduling and applicant tracking.
- Assist with employee orientation and onboarding activities.
- Coordinate background checks, employment verifications, and required certifications.
- Assist management with employee disciplinary meetings and documentation.
- Maintain confidentiality of employee information and company records.
- Ensure compliance with employment laws and company policies.
- Conduct or coordinate new hire safety orientation.
- Support OSHA, airport security, and safety compliance initiatives.
- Assist Operations Managers with employee scheduling and staffing coordination.
- Prepare operational and management reports.
- Maintain accurate employee rosters and administrative records.
- Coordinate communication between corporate departments and field operations.
- Support special projects and continuous process improvement initiatives.
- Perform other duties as assigned.
- Bachelor's degree in Business Administration, Accounting, Finance, Human Resources, Management, or a related field preferred.
- Equivalent combination of education and relevant work experience may be considered.
- Minimum of 2–5 years of experience in payroll, accounting, contract administration, human resources, or business administration.
- Experience supporting multiple contracts, departments, or business entities preferred.
- Airport operations, aviation services, or government contract experience is a plus.
- Strong knowledge of payroll processing and timekeeping practices.
- Understanding of accounting principles and financial reporting.
- Experience preparing invoices and reconciling payroll and billing data.
- Knowledge of employment laws and HR best practices.
- Excellent organizational, analytical, and problem-solving skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet strict deadlines.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with professionalism.
- Strong customer service and interpersonal skills.
Experience with:
- ADP Workforce Now system
- Adobe Acrobat
- Microsoft Office Suite
- Ability to sit for extended periods while working on a computer.
- Occasionally lift and carry up to 20 pounds.
- Ability to move throughout an office and airport operational environment.
- Ability to work in a fast-paced environment while meeting deadlines.
This position operates in both an office and airport operational environment. The employee may occasionally be required to visit operational work areas, interact with airport personnel, and support field management. Flexibility to work occasional evenings, weekends, or holidays may be required to meet operational needs.
